This is an important role within our practice and is ideal for someone who enjoys being the person who keeps things running smoothly. The Office Manager will serve as a primary point of contact for prospective and current families, clinicians, and outside providers, while managing the day-to-day administrative operations of the practice. We are looking for someone who is organized, responsive, detail-oriented, professional, and comfortable managing multiple priorities at once. The ideal candidate is warm and personable with families while also being confident and efficient when handling administrative and financial responsibilities.

Position:
Office Manager / Practice Administrator Responsibilities Client & Family Communication Answer incoming phone calls and respond to emails in a timely and professional manner Serve as a welcoming and knowledgeable first point of contact for new and prospective clients Speak with families about their needs and help determine appropriate services and clinician fit Communicate practice policies, fees, scheduling expectations, and next steps to families Follow up with prospective clients and referrals to ensure they receive timely responses Maintain professional and compassionate communication with current families Scheduling & Practice Coordination Coordinate and manage schedules for clinicians, children, teens, families, and groups Schedule initial appointments, ongoing sessions, consultations, and other services Help coordinate schedules across multiple family members and clinicians Manage cancellations, rescheduling, and scheduling conflicts Communicate schedule changes effectively with families and clinicians Help maintain smooth day-to-day operations across the practice Insurance & Financial Responsibilities Verify and check out-of-network (OON) benefits for prospective and current clients Help families understand their potential out-of-network reimbursement and financial responsibilities Communicate practice fees and payment policies Work with families to determine appropriate sliding-scale arrangements when applicable Maintain accurate records related to fees, benefits, and client financial information Assist with billing and other administrative financial tasks General Office Management Keep administrative systems organized and running efficiently Support clinicians with administrative needs Maintain accurate client and practice information Help identify administrative issues and develop efficient solutions Assist with practice projects, systems, and process improvements Manage multiple competing priorities while maintaining attention to detail Take initiative and anticipate what needs to be done rather than waiting to be asked Qualifications The ideal candidate will have: Previous experience in office management, practice management, healthcare administration, or a similar administrative role Excellent organizational and time-management skills Strong written and verbal communication skills Exceptional attention to detail Ability to manage multiple tasks and priorities independently Strong follow-through and reliability Comfort speaking with families about sensitive topics and financial matters Professional, warm, and personable communication style Ability to problem-solve and use good judgment Strong computer and technology skills Ability to work independently in a hybrid/virtual environment Experience with mental health practices, healthcare, insurance benefits, or out-of-network billing is a plus Who We Are The Center for Family Empowerment is a private mental health practice specializing in services for children, teens, families, and young adults .
