The Business Office Manager (BOM) serves as a key leader in supporting the operational, financial, and administrative success of the community. This role helps create an environment where residents feel welcomed, valued, and supported, team members feel engaged and empowered, and community operations run efficiently and effectively. While the Business Office Manager's primary responsibilities are administrative and operational, this position plays an important role in fostering a culture of compassion, service, accountability, and connection that supports residents, families, and team members alike. The Business Office Manager partners closely with the Executive Director, Director of Nursing, department leaders, residents, and families to ensure smooth business operations, regulatory compliance, financial stewardship, and exceptional customer service. This role serves as a culture champion, helping support team member engagement, human resources processes, and a welcoming community environment where people thrive.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Operational Leadership & Community Support:
Support the daily operations of the community to ensure efficiency, organization, and exceptional service, including answering phones and welcoming those who enter. Assist in executing activities that support resident satisfaction and organizational goals. Partner with the Executive Director and community leadership team to ensure operational excellence across departments. Support strategic initiatives, process improvements, and organizational goals. Help create a welcoming environment for residents, families, visitors, and team members. Demonstrate a commitment to service and hospitality in all interactions. Perform additional duties and special projects, as assigned.
Financial Management & Business Operations:
Support timely and accurate payroll processing. Monitor and maintain business records, invoices, accounts receivable, and related financial documentation. Assist with financial reporting and analysis as directed. Ensure accurate recordkeeping and data integrity across business systems. Support budget management efforts through attention to detail and fiscal responsibility. Research and analyze operational, payroll, and compliance data to identify trends and opportunities for improvement.
Human Resources & Team Member Experience:
Support all aspects of the team member lifecycle, including recruitment, onboarding, orientation, and offboarding processes. Assist with maintaining personnel records and ensuring confidentiality of employee information. Coordinate new hire paperwork, background checks, and onboarding documentation. Support team member engagement initiatives and recognition programs. Help foster a positive workplace culture focused on collaboration, accountability, and shared purpose. Serve as a resource for team members regarding payroll, benefits, and administrative questions. Promote a culture where team members feel valued, respected, and supported. Assist leadership with process improvement initiatives related to human resources and workforce management.
Resident & Family Experience:
Serve as a welcoming and professional point of contact for residents, families, visitors, and community partners. Support residents and families by addressing administrative questions and concerns with empathy and professionalism. Assist in creating a positive first impression for prospective residents and families. Build trusting relationships through responsive communication and exceptional customer service. Recognize that administrative excellence contributes directly to resident confidence, satisfaction, and overall experience.
Compliance, Confidentiality & Risk Management:
Maintain compliance with company policies and applicable local, state, and federal regulations. Support audits, inspections, and compliance reviews as needed. Exercise sound judgment, professionalism, and discretion in handling sensitive information.
Leadership & Culture Building:
Promote and support a positive work environment focused on teamwork, communication, and collaboration. Partner with department leaders to support employee engagement and retention initiatives. Help cultivate a culture of accountability, kindness, and service excellence. Encourage open communication and positive working relationships across departments. Represent the mission, values, and culture of Peaceful Pines Senior Living in daily interactions. Support leadership efforts to create an environment where residents and team members can thrive.
GENERAL REQUIREMENTS
Previous experience in leadership, business office, human resources, or operations role, preferably in senior living or healthcare. Strong interpersonal, verbal, and written communication skills. Strong analytical and problem-solving abilities. Proficiency with Microsoft Office and business management software systems. Must maintain confidentiality of resident, employee, and organizational information. Ability to manage multiple priorities in a fast-paced environment. Ability to exercise sound judgment and professional discretion. Ability to work flexible hours as needed to support community operations. Commitment to continuous improvement and service excellence.
