Job Description

The Office Manager is to ensure that all Residential Child and Family Specialists and residential services clerical and office support functions are addressed. This individual is responsible to the Director of Residential Child and Family Specialists.
Requirements:
Must possess a minimum of a high school diploma or equivalent. Additional office skills/business course work is preferred. Must be able to use computers efficiently (i.e., word processing, data storage/retrieval, etc.) Must be able to manage multiple responsibilities quickly and efficiently. Must possess professional demeanor and skills in dealing with other staff and members of the community. Must have knowledge of and abide by rules of confidentiality. Must be sighted and have good communication skills. Must have the physical health to demonstrate regular job attendance. Must subscribe to the Agency's Mission Statement and Organizational Values. Must demonstrate an awareness of and sensitivity to the various cultural and socioeconomic characteristics of the clients and staff members.
Responsibilities:
Complete typing and other projects requested by supervisor in a cooperative, timely fashion and type routine correspondence for office staff. Set up computer-based files on new admissions. Maintain computer data related to admissions, discharges, and relevant information for current clients, youth directory, allergy list, etc. Review and process monthly reports as assigned, i.e. statistical reports, etc. Inventory and maintain supplies as assigned. Assist with compilation of Quarterly/Annual Reports. Maintain data for CQI. Process all SIRs and FYIs from all Residential areas and send any SIRS to needed personal. Make copies of all SIRs/FYIs and distribute to needed personal. If needed, send SIRs to DCS and the appropriate sub-contract agency staff. Ensure the weekly CFS report is completed and post on the S drive each week. Request all needed information for all new admissions. Close client files for storage or archiving. Keep copies of intake packets updated for Residential Services and process them. Treat clients and staff members with respect and promote an awareness of and sensitivity to the cultural backgrounds and needs of clients and staff members. Assist each Residential CFS as needed. Enter monthly data into TFACTS. Generate, with input from supervisors and RCFSs, forms as specifically needed. Record and generate minutes from meetings as required. Pick up and sort incoming mail; drop off outgoing mail. Purchase supplies and equipment as required for Residential Services and the RCFS department. File all paperwork for all the Residential youth. Attend meetings as required by supervisor. Participate in required in-service training and departmental/agency staff meetings. Audit all PAC files and send out a request for information as needed. Complete the face sheets for each youth and update them as needed and send them to the appropriate people. Ensure all paperwork is in the client records when the youth is transferring to another program. Maintain both the copier and fax machines and make repair requests when needed. Post current home passes and keep them updated on the S Drive. Put in any needed maintenance and/or IT requests. Keep copies of all SIRs throughout the month and send them out along with the monthly summaries each month, as needed. Ensure a side effects sheet is in client records as the agency Nurse sends out prescription updates. In conjunction with the Residential CFS Director, keep the CFS caseloads updated on the share drive. Enter dates into the CFS Weekly Data. Request information from Wiley Center, Hull, Bewley, Brumit, Beacon School, and DCS every 30 days (putting that request in each area in the files) until the information is received. Maintain and update forms for Residential Services and RCFS departments, as needed. File for all the residential programs. These job responsibilities are not intended to be all inclusive.
