We're looking for an Office Administrator to join our Stone Division team. This is a fast-paced, highly interactive role that sits at the center of our operations. You'll work closely with our leadership, operations, sales, installers, vendors, and customers to make sure the details are handled and projects keep moving forward. This position is ideal for someone who is friendly, highly organized, proactive, detail-oriented, and comfortable juggling multiple priorities without losing track of the little things. What You'll Do You'll play a key role in keeping our Stone Division organized and running smoothly, including: Support the VP and Operations Managers with daily administrative needs and special projects. Serve as a welcoming and professional first point of contact for incoming phone calls. Coordinate template and installation scheduling and confirm appointments several days in advance. Prepare daily installer paperwork and ensure information is accurate and complete. Track customer questions, issues, and complaints from initial contact through resolution. Support Production and Sales Teams by ordering materials and supplies as needed. Create stone-related purchase orders through Sage, receive and verify packing lists, compare deliveries against orders, and submit documentation to Accounts Payable/ROG. Maintain inventory of office and shop supplies, including blades, sinks, and other materials. Monitor inventory levels, identify backorders or shortages, and communicate issues to management. Assist the Inventory Specialist with inventory spreadsheets, sales racks, stock sinks, and monthly inventory counts. Complete month-end reporting and cross-reference invoices to ensure all project charges are accurately captured and billed. Support the Sales Team and showroom by ordering samples and helping maintain a clean, organized, customer-ready environment. Create and maintain sales-related documents and promotional materials. Collect customer deposits and signed contracts. Prepare customer invoices and manage accounts receivable processes. Develop a working knowledge of our materials and processes so you can confidently communicate with customers and team members. Take on additional responsibilities and special projects as needed. Enjoys learning — You're willing to learn our products, materials, systems, and processes and become a knowledgeable resource for the team. What You Bring High School Diploma or GED required. Previous administrative, office, customer service, operations, or related experience preferred. Strong written and verbal communication skills. Excellent attention to detail and organizational skills. Ability to multitask and prioritize in a fast-paced environment. Comfortable working independently and as part of a team. Computer proficiency, including Outlook, Word, Excel, QuickBooks, and/or Sage . Ability to learn new software, systems, and processes. Professional, friendly, and positive demeanor.
