We are seeking a highly organized and dependable Executive Operations Coordinator to support our CEO and executive leadership team. This role coordinates executive schedules, company travel, technology and device needs, office administration, and important projects that involve multiple departments. The ideal candidate is proactive, professional, steady under pressure, and comfortable moving between executive-level responsibilities and practical day-to-day office needs. This person must be able to manage competing priorities, protect confidential information, anticipate needs, and ensure assignments are followed through to completion. Primary Responsibilities Executive Support and Follow-Through Coordinate the CEO's calendar, meetings, appointments, and business travel. Prepare meeting agendas, briefing materials, presentations, reports, proposals, and correspondence. Document decisions and action items from meetings. Track incomplete assignments and follow up with employees, vendors, or outside contacts on behalf of the CEO and executive leadership. Help organize priorities and direct requests to the appropriate leader or department. Identify issues requiring an executive decision and ensure they are brought forward promptly. Coordinate leadership meetings and maintain an organized schedule of recurring executive commitments. Handle confidential company, employee, and leadership information with discretion. Support special projects and company initiatives assigned by the CEO or executive leadership. Company Travel Coordination Arrange business travel for company departments and executive leadership. Coordinate transportation, lodging, itineraries, reservations, and other travel details. Distribute travel confirmations and complete itineraries. Resolve routine travel changes, cancellations, and scheduling conflicts. Ensure travel arrangements are accurate, timely, clearly communicated, and within approved company guidelines. Phones, Devices, and Technology Support Manage company cellphone accounts, including adding, suspending, and removing phone lines. Order, replace, assign, and track company phones, tablets, and related devices. Review mobile-service bills and communicate with Verizon regarding account, billing, or service issues. Coordinate JAMF-related device issues. Assist employees with Microsoft Authenticator and routine account-access problems. Coordinate the removal of technology access and return of assigned devices for terminated employees in partnership with HR and department leadership. Troubleshoot routine device and login issues. Coordinate employee technology and equipment requests with the appropriate vendors or departments. Office Administration Provide front-door coverage and assist office visitors. Manage postage and distribute incoming mail. Prepare and mail company packages. Order approved office and Amazon supplies. Help keep the office and trade school stocked with supplies and snacks. Coordinate routine service needs with cleaning, printer, and pest-control providers. Prepare administrative documents and correspondence. Handle time-sensitive office and leadership needs. Maintain organized records, recurring schedules, vendor contacts, and administrative checklists. Cross-Department Coordination Respond to administrative requests from executive leadership. Provide support across departments as business needs require. Coordinate projects or issues involving multiple departments when there is not yet a clear owner. Identify and confirm the department or leader responsible for the outcome. Document handoffs and follow open items through completion. Maintain visibility into outstanding requests so urgent matters do not stall between departments. Communicate risks, delays, and unresolved decisions to leadership promptly Qualifiations At least four years of progressively responsible experience in executive support, office administration, or operations coordination. Strong organizational and time-management skills. Demonstrated ability to manage multiple priorities, assignments, and deadlines. Professional written and verbal communication skills. Confidence communicating with employees, leadership, vendors, and outside contacts. Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and shared-document systems. Strong judgment, discretion, and respect for confidential information. Consistent follow-through and attention to detail. Ability to anticipate needs and take appropriate action without waiting for a detailed task list. Comfortable learning cellphone account management, device-management systems, and routine technology-support processes. Ability to remain calm, adaptable, and professional when priorities change. Preferred Experience Previous experience supporting a CEO or executive leadership team. Experience working in construction, skilled trades, a service company, or a multi-department organization. Experience coordinating company travel, technology accounts, vendors, or office operations.
Pay:
$58,000.00 - $68,000.00 per year
