Office Administrator — RV64
Resort Location:
RV64 Resort Reports to: Resort Management / Ownership Position Summary The Office Administrator manages daily office operations, guest reservations, tenant billing, payment records, and administrative support for RV64 Resort. This position helps provide a welcoming guest experience while maintaining accurate records, timely collections, and clear communication with management. Key ResponsibilitiesReservations and Guest Services Manage reservations, check-ins, check-outs, extensions, and site changes in ResNexus. Answer phone calls, emails, and guest questions professionally. Explain resort policies, rates, payment deadlines, and rental terms. Maintain accurate guest information and required agreements. Collect required deposits and payment authorizations through approved systems. Billing and Payment Collection Prepare and track rent, prorated charges, monthly electricity charges, and other approved fees. Coordinate meter readings with maintenance staff to support accurate electricity billing. Monitor upcoming payments, overdue accounts, and outstanding balances. Send payment reminders and approved notices; escalate unresolved accounts to management. Apply late fees and special rates only according to approved policies and documented agreements. Financial Records and Reconciliation Record payments accurately in ResNexus and provide receipts. Reconcile daily payment activity, including cash, with supporting records. Prepare deposit documentation and assist management with matching payments to bank deposits. Investigate discrepancies promptly and report unresolved differences. Maintain organized records of invoices, receipts, refunds, and approved adjustments. Purchasing and Inventory Monitor office, hospitality, and operating supply levels. Maintain inventory sheets and coordinate regular counts. Submit purchases for approval and stay within established spending limits. Track Amazon, Walmart, and other vendor orders, deliveries, returns, and receipts. Review supply usage and identify opportunities to reduce unnecessary spending. Office Systems and Recordkeeping Use ResNexus and other approved business systems consistently. Maintain organized digital and paper files for guests, tenants, vendors, and operations. Document special tenant arrangements and obtain management approval before implementation. Use corporate email for business communications. Protect guest and business information and follow approved payment data handling procedures. Help management maintain an up-to-date list of business accounts and authorized access. Event Center Administration Respond to rental inquiries and coordinate availability and bookings. Prepare approved rental agreements and collect required deposits and payments. Communicate rental rules, access instructions, and cleaning requirements. Coordinate event setup and follow-up with the appropriate staff. Staff Coordination and Reporting Track maintenance requests and communicate them to the responsible staff. Help maintain landscaping and recurring maintenance schedules. Provide management with regular updates on occupancy, collections, overdue balances, expenses, and unresolved issues. Escalate guest concerns, financial discrepancies, and policy exceptions promptly. Qualifications Experience in office administration, hospitality, property management, or a similar role. Strong organizational skills and attention to detail. Comfortable handling billing, payment records, cash, and basic reconciliation. Proficiency with email, spreadsheets, and office software. ResNexus experience preferred, or willingness to learn. Professional communication and customer service skills. Ability to handle confidential information with discretion and manage competing priorities. Authority and Accountability The Office Administrator follows management-approved policies and spending limits. Discounts, undocumented tenant arrangements, refunds, waived fees, and payment adjustments require appropriate approval. Success in this role means accurate records, timely billing and follow-up, controlled purchasing, organized operations, and professional service to guests and tenants.
Pay:
$12.00 - $17.00 per hour Expected hours: 35.0 per week
