Role:
TSRI is seeking a highly capable, organized, and resourceful Office & Employee Services Administrator to join our Office of Administration and Employee Services (OAES) team on a part-time basis. This role will work closely with the Senior OAES Manager to support HR and employee services, recruiting coordination, compliance, employee lifecycle administration, office operations, and cross-functional projects. We are looking for someone who can take ownership of assigned work, keep multiple priorities moving, communicate clearly, and follow tasks through to completion. This role is a strong fit for someone who enjoys a combination of people-facing work, detailed administrative coordination, systems, process improvement, and hands-on office support.
What You'll Do:
Recruiting and Employee Services Coordinate recruiting and interview logistics, including candidate tracking, communications, calendars, interview materials, NDAs, assessments, background checks, feedback collection, and next-step follow-through. Support onboarding, employee changes, and offboarding using Rippling, JIRA, approved documents, training records, equipment records, access coordination, and cross-functional follow-up. Coordinate performance evaluation logistics, including document preparation, distribution, response tracking, reviewer routing, scheduling, signatures, and final filing. Draft routine employee and candidate communications and prepare supporting materials. Compliance, Records, and Process Coordination Maintain assigned compliance and training calendars, notices, completion tracking, signature routing, personnel-file follow-up, organized records, and routine reports. Help maintain shared tracking systems so owners, deadlines, status, next steps, dependencies, and coverage remain visible. Become familiar with TSRI's Rippling configuration and assist with approved data updates, workflow documentation, implementation priorities, and process improvements. Maintain accurate records and status updates while protecting employee confidentiality and sensitive company information. Office and Kirkland Support Serve as a primary local coordinator for facilities, vendors, deliveries, equipment, building access, office readiness, onsite meetings, and physical security or safety concerns requiring escalation. Coordinate vendor arrival, access, onsite requirements, follow-through, and closure when more than a brief handoff is required. Support meetings, recognition activities, company events, shareholder logistics, and other administrative projects as assigned. Work collaboratively with other administrative team members to maintain clear responsibilities, shared visibility, and reliable office coverage.
Schedule and Onsite Expectations:
This is a Kirkland-based position and is not designated as a fully remote role. The expected schedule is 20-25 hours per week, with regular overlap during TSRI's core business hours of 10:00 a.m. to 4:00 p.m. Pacific Time. The role currently requires regular onsite presence in the Kirkland office, generally five days per week for approximately four hours per day. Some work may be completed remotely when appropriate based on the nature of the work, scheduling needs, and manager approval. The Administrator should also be available for planned onsite needs such as vendor access, facilities coordination, deliveries, equipment support, meetings, and other office-operational responsibilities. Attendance at TSRI's every-other-month All Hands meetings is expected in person. Occasional urgent onsite support may be requested, but this role does not require continuous on-call availability. All time worked must be recorded and paid. Work-location expectations may evolve based on business needs, workplace practices, or company policies.

Minimum Qualifications At least three years of progressively responsible experience in employee services, HR or recruiting administration, office operations, project coordination, executive administration, compliance support, or a closely related area. Demonstrated experience coordinating multiple workstreams involving different people, deadlines, systems, or outside partners. Strong prioritization, organization, written and verbal communication, follow-through, confidentiality, judgment, and attention to detail. Proficiency with Microsoft Outlook, Word, Excel, Teams, Point, and digital records or task-management systems. Ability to learn new platforms and processes quickly. Authorization to work in the United States. Ability to satisfy applicable customer, information-security, and background-screening requirements.

A successful Administrator will become a dependable working partner who takes meaningful ownership of assigned responsibilities rather than simply providing administrative backup. Recruiting, employee lifecycle, evaluation, compliance, records, and office priorities move forward with accurate information, clear communication, and dependable follow-through. The Administrator maintains a sustainable 20-25-hour workload, communicates capacity concerns early, and provides reliable Kirkland-area support proportionate to business needs.
