Job Description

On-Site Clinic Administrative Support Specialist Schedule:

Monday-Friday, 7:30 AM-4:00

Everett, WA Position Summary We are seeking an experienced On-Site Clinic Administrative Support Specialist to provide administrative and front-desk support for an on-site healthcare clinic. This position will coordinate patient appointments, maintain medical records, support clinic operations, manage supplies and invoices, and assist patients and business partners. The ideal candidate will have prior administrative experience in a healthcare setting. Experience in occupational health or urgent care is preferred. Key Responsibilities Schedule patient appointments and notify employees and managers of appointments via email. Coordinate medical appointments with external healthcare facilities as requested. Provide front-desk support to patients and business partners in person and by telephone. File medical records and documentation into hard-copy patient charts. Maintain hard-copy medical charts in the required standard format. Release and transfer medical records in accordance with company policies and procedures. Retrieve medical records from long-term storage as needed. Inventory and order medical and office supplies. Reconcile and process invoices for in-clinic and community services using Ariba and other company-specific systems. Create reports for the Clinic Manager using Microsoft Word and Excel. Provide additional administrative support for on-site clinic operations that does not require a clinical license or certification. Assist with non-clinical screening activities, such as weighing patients for health screening programs. Support the clinic team with other administrative duties as assigned. Required Qualifications High school diploma or equivalent. Previous administrative support experience in a healthcare setting. Strong organizational and recordkeeping skills. Ability to communicate professionally with patients, employees, managers, and external business partners. Proficiency with Microsoft Word and Excel. Ability to maintain confidentiality and handle medical records appropriately. Preferred Qualifications Previous experience in Occupational Health . Experience working in an Urgent Care setting. Experience supporting an on-site or employer-based healthcare clinic. Schedule Monday-Friday 7:30 AM-4:00 PM Day shift
