We are seeking a highly organized, proactive Business & Office Manager to run day‑to‑day administrative operations, support project management workflows, and keep the business moving smoothly as we scale. This role is the operational backbone of the office—ideal for someone who thrives in a fast‑paced construction environment, enjoys building systems, and takes ownership of keeping the business organized, compliant, and efficient. Key Responsibilities Office & Business Operations Manage daily office operations and administrative workflows. Maintain company records, insurance certificates, licensing, compliance documents, and vendor accounts. Oversee inbound/outbound communication, including phones, email routing, mail, and general inquiries. Serve as HR lead with focus onboarding, maintain employee files, and coordinate training/certification tracking. Maintain and improve internal processes, templates, SOPs, and company documents such as Employee Handbooks. Manage, mentor, and oversee the Office Coordinator, providing day-to-day work direction, training, and performance feedback to ensure smooth administrative operations. Oversee company insurance policies, tracking yearly renewals and insurance claims when they arise. Administer employee benefit programs (health, dental, vision, and 401k), coordinate open enrollment, process carrier changes, and act as the primary point of contact for staff benefit inquiries. Project & Field Support Assist with project setup: job folders, contract documents, Change Order logs, submittal packages, and vendor Purchase Orders. Coordinate with Operations Managers, Superintendents, and Estimators to ensure field documentation is organized and current. Help Operations Manager and field staff track project schedules, deliverables, and administrative requirements. Support billing cycles with document collection, lien waivers, invoice submission and furnished‑through dates. Accounting & Financial Administration Lead QBO workflows including Accounts Payable, Accounts Receivable, reconciliations, vendor setup, and expense tracking. Prepare monthly, quarterly, and yearly reporting summaries, job cost updates, and administrative financial documentation. Lead payroll processing tasks including weekly payroll, prevailing wage intents and certified payroll, timesheet collection/corrections, and basic HR compliance. Manage company retirement plan, including monthly reconciliation to ensure employee 401(k) withholdings and employer matching contributions recorded through payroll are accurately and timely remitted. Vendor, Client & Team Coordination Serve as a professional, reliable point of contact for clients, General Contractors, suppliers, and partners. Support operations with scheduling, meeting coordination, and communication as needed. Perform other duties as assigned, based on workload and company needs. Required Skills & Experience 3-5+ years of office management, business administration, or construction‑related administrative experience. Experience and/or education in accounting is strongly desired. Strong proficiency with QuickBooks Online , Microsoft 365, and cloud‑based file systems. Excellent organizational skills with the ability to manage multiple priorities and deadlines. Professional communication skills—written, verbal, and client‑facing. Ability to build and maintain structured workflows, templates, and repeatable processes. Familiarity with construction billing, contracts, COs, and project documentation is strongly preferred.
