Full Job Description Position Summary:
Custom Pipe is seeking a detail-oriented and highly organized Administrative Assistant to support daily office functions and provide general administrative support to the team. This position requires excellent communication skills, a proactive attitude, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Serve as the first point of contact for visitors and incoming phone calls. Manage office supplies inventory and place orders as needed. Maintain and organize physical and digital filing systems. Prepare and edit correspondence, reports, memos, and other documents. Support department managers with administrative tasks, including scheduling, travel coordination, and data entry. Assist in maintaining records for HR, safety, and compliance purposes as needed. Coordinate incoming and outgoing mail, deliveries, and shipments. Track and file documents related to purchasing, production, or sales support functions. Maintain cleanliness and orderliness of common office areas. Provide backup support to other administrative or operational departments as directed.
Qualifications:
High school diploma or equivalent; associate's degree or administrative certification preferred. 2+ years of administrative or office experience (manufacturing or industrial environment a plus). Strong computer skills (MS Office Suite required; familiarity with ERP systems like Acumatica is a plus). Excellent organizational and multitasking skills. Strong verbal and written communication. Ability to maintain confidentiality and handle sensitive information professionally.
Working Conditions:
Primarily office-based with occasional exposure to the shop floor for coordination or deliveries. Must be able to sit for extended periods and lift up to 25 pounds occasionally.
