Job Description

Job Summary Basic Function:
Under the direction of the Superintendent/Principal or designee, serves as the administrative assistant at the comprehensive high school/district office, providing relief of administrative and clerical detail; performs complex and responsible clerical work related to the day to day operations of the high school/district; organize office activities and coordinate flow of communications for the high school administration; assure smooth and efficient office operations; and do related work as required.
Essential Duties and Responsibilities:
Coordinate flow of communications between administrators, faculty, staff, students and the community; respond to inquiries and provide information to teachers, students and the public. Receive, open, sort, screen and distribute incoming mail. Coordinate and schedule meetings and appointments; attend, take minutes and serve as recording secretary at assigned meetings. Monitor calendars of other administrative staff on site, as needed, to schedule meetings and determine school needs. Maintain calendars on the website Order equipment and supplies as necessary. Arrange for repair of items on site, including but not limited to processing work orders. Help with substitutes for absent personnel; assure substitutes are prepared for instruction; assist substitutes in resolving issues; distribute keys and maintain appropriate records. Maintain staff time records; prepare staff attendance reports; maintain various other records and files; establish and maintain filing systems. Prepare and print a variety of documents including special event programs, newsletters, flyers, handbooks, and promotional materials. Appropriately maintain and secure confidential student records and inquiries.  Manage special projects as assigned by administration.  Monitor postage meter and refill as required. Compile information and prepare and maintain a wide variety of data and school/district reports according to established procedures and time lines. May perform student health care functions; administer first aide; communicate serious injuries or illnesses to parents or appropriate personnel. May train and provide work direction and guidance to substitute clerical staff and student assistants as assigned by position. Operate various office machines. Operate a computer. Assist with facility requests and transportation requests and maintaining a calendar of events and activities on campus. Perform other related duties as assigned.
Knowledge Of:
Basic school district policies, rules, and regulations Modern office methods, practices and procedures English usage, spelling, grammar, and punctuation Record-keeping and report preparation techniques Current computer based work processing, database and spreadsheet software programs Telephone techniques and etiquette Interpersonal skills using tact, patience and courtesy Oral and written communication skills Methods of collecting and organizing data and information Business letter and report writing techniques First aid and CPR procedures
Ability To:
Provide varied and responsible secretarial duties and clerical support duties Perform difficult and responsible clerical work and make arithmetical calculations with speed and accuracy Organize office activities and coordinate flow of communications Operate a variety of office equipment including a computer and assigned software Learn, interpret, and apply school district policies, laws, rules, and regulations Analyze situations accurately and adopt an effective course of action Make arithmetical calculations quickly and accurately Prepare and maintain accurate and complete records and reports Maintain financial records Establish and maintain a variety of filing systems Establish and maintain cooperative and effective working relationships with children and adults Compose correspondence independently or from oral instructions Work independently with little direction Work confidentially with discretion Prioritize and schedule work Understand and work within scope of authority Train and provide work direction to others Deal effectively with a wide variety of personalities and situations requiring tact, judgment, and poise Complete work with many interruptions Communicate effectively both orally and in writing Administer first aid and CPR procedures Maintain consistent, punctual an regular attendance
Physical Ability To:
Sufficient hand/eye coordination and manual dexterity to use a computer keyboard Prolonged typing and data entryFrequent sitting Sufficient visual acuity to read words, letters, and numbers Auditory and speaking ability to carry on conversations over the phone and in person Bend, stoop, squat, and reach above/below shoulder level to pull materials from files and shelves Frequently lift and carry up to 10 pounds. Occasionally lift and carry up to 50 pounds

Pay:
$25.98 - $30.46 per hour
