Provide customer service to citizens in Police services. Performs highly responsible duties involving technical, administrative, record keeping and assistance with the official records and documents of a municipal Police Department. Performs a variety of routine clerical, bookkeeping/accounting and customer service duties that include, but are not limited to answering routine complaints and providing general information about the city in general and the Police Department. Human Resource liaison with City Clerk for the Police Department. This position assists the Police Chief in the administrative management of the Police Department and falls under the direct supervision of the Chief of Police.
Work Experience:
Minimum two years of experience in a customer service environment, one year of experience in sub-professional accounting and administration, or an equivalent combination of training and experience which provide the required knowledge, ability, and skills.
Education/Certifications:
High School diploma or possession of an acceptable equivalent diploma. College education may be exchanged for some of the experience. Any other applicable certificates a plus. Must have or obtain a State of Florida Notary within six (6) months of date of hire and have a valid Florida driver's license.
Work Requirements:
Work in this classification is performed indoors at a desk/workstation requiring extended periods of sitting and operating a computer, some bending and stretching and may on occasion require very limited (less than 20 pounds) physical lifting, pushing and pulling to perform essential job functions. Employment consideration requires criminal and financial background check.
Additional:
Pre-employment background check required. All other duties that could be reasonably associated to the core purpose of Police and Public Safety Services.
ESSENTIAL JOB FUNCTIONS
Serves as primary contact to answer, screen, research, inform, advise, record, process, and follow-up all administration related customer requests efficiently and expeditiously as received by phone, mail or personally from citizens, agencies, City employees and clients. Ability to maintain confidentiality and handle confidential, sensitive, and historical records. Create and maintain police records, reports, and other documentation and materials in compliance with the public records laws and policies. Seals and expunges records in compliance with court orders. Acts as the Human Resources liaison manages department payroll, personnel and training files, and budgetary expenditures for the Police Department. Acts as the administrative assistant to the Chief of Police and other staff which includes maintaining staffing schedules and calendars, and other correspondence as necessary. Conduct and prepare reports for local background checks. Knowledge of office practices and procedures. Process account receivables and payables, code invoices and statements, collect record fees, process reimbursements, petty cash disbursements, and prepare financial records or reports as required. Coordinates the purchase, inventory and maintenance of department equipment, supplies and facilities as needed. Acts as the agency's point of contact for local government, state, and federal departments and courts for records disposition and dissemination. Ability to operate calculator, computer, word processor and other equipment and software needed to perform applicable duties. Ability to assist with meetings, agendas and documents, including copying and scanning. Ability to assist with police/fire events and calendars. Aids customers and citizens in a pleasant personal manner Ability to work under pressure and maintain a high level of accuracy. Ability to work effectively with coworkers and the public. Ability to calmly handle administrative and police matters and to seek assistance from others as needed. Perform police department notary duties when needed. Prepare reports, work orders and documents as required. Attend work on a continuous and regular basis May help in the preparation of regular and special reports and documents.
