Job Description

Position Overview We are seeking a detail-oriented, proactive, and professional Administrative Assistant to support a financial advisor team in Normal, IL. This full-time role is essential to delivering exceptional client service, ensuring seamless day-to-day office operations, and managing key administrative and operational workflows.
Key Responsibilities Client Service & Support:
Provide high-touch customer service by assisting clients in a timely, friendly, and professional manner. Handle inbound and outbound calls, process client correspondence, and address inquiries efficiently.
Business Operations & Processing:
Manage end-to-end business processing, including data entry, account establishment, asset transfers, and deposit/withdrawal requests across multiple platforms.
Calendar & Meeting Management:
Oversee advisor schedules, coordinate appointments, set up meetings for clients, and prepare comprehensive client review packages.
CRM & Data Maintenance:
Maintain and update client records accurately within the CRM database.
Compliance & Office Support:
Assist in maintaining regulatory compliance standards and provide administrative oversight for daily office operations.
Qualifications & Requirements Education & Experience:
Bachelor's degree or equivalent experience required. Experience in the securities, financial, or investment industry preferred.
Licensing:
Willingness to work toward obtaining relevant securities licenses and industry designations after hire.
Technical Skills:
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) and financial CRM tools.
Communication & Professionalism:
Exceptional verbal and written communication skills with a professional appearance, service-oriented attitude, and articulate demeanor.
Core Competencies:
High attention to detail, strong math and proofreading skills, superior organizational abilities, and an aptitude for multitasking in a dynamic environment.
Integrity & Focus:
Must demonstrate the highest level of integrity, maintain confidentiality, and display strong deadline-driven follow-up capabilities.
Pay:
From $40,000.00 per year
