FULL-TIME ATTORNEY ASSISTANT & OFFICE ADMINISTRATOR
Position Summary Law office seeking a dependable, highly organized, and professional Attorney Assistant & Office Administrator to provide direct administrative support to an attorney and assist with the efficient day-to-day operation of the office. This is a client-facing position requiring excellent judgment, discretion, communication skills, attention to detail, and the ability to maintain strict confidentiality. The successful candidate will serve as an important point of contact for the attorney, clients, and other professionals and must consistently represent the office in a courteous and professional manner. Business-casual attire and a professional demeanor are required. Assistant to Attorney Responsibilities Monitor and review attorney emails and promptly notify the attorney of meeting requests, appointments, and other matters requiring attention. Answer the office telephone in a professional and courteous manner and notify the attorney of incoming calls. Answer the attorney's personal cell phone when the attorney is unavailable or in meetings, take accurate messages, and promptly relay those messages to the attorney. Schedule and coordinate appointments, meetings, and other calendar commitments. Maintain the attorney's calendar and assist with keeping appointments and deadlines organized. Handle client and professional communications with discretion and professionalism. Provide general administrative and organizational support to the attorney as needed. Office Administrator Responsibilities Maintain organized physical and electronic filing systems. Proofread legal documents and correspondence for spelling, grammar, formatting, and accuracy. Organize and maintain client and case files. Open and set up new files in accordance with office procedures. Compile exhibits and supporting documentation for pleadings and other legal filings. Prepare documents for filing with courts and other appropriate agencies. Prepare professional correspondence, letters, and other office documents. Prepare documents and correspondence for mailing. Enter office and case-related expenses into the billing system accurately and timely. Monitor office supply inventory and order supplies as needed. Make occasional local business errands, including trips to the courthouse and post office. Assist with general office administration and other duties as assigned. Professional Expectations The successful candidate must maintain a high standard of professionalism at all times. This position represents the attorney and the office and requires someone who is dependable, mature, courteous, and capable of exercising sound judgment. Strict confidentiality is required. All client information, legal matters, communications, documents, and office business must be treated as confidential. Must maintain a professional and respectful demeanor with clients, attorneys, court personnel, vendors, and members of the public. Must demonstrate excellent attention to detail and accuracy. Must be dependable, punctual, organized, and able to manage multiple responsibilities. Must be comfortable working independently and taking initiative when appropriate. Must be able to handle sensitive information and situations with discretion. Business-casual professional attire is required. Must maintain a neat, polished, and professional appearance appropriate for a law office. Must possess a valid driver's license and reliable transportation for occasional courthouse, post office, and other local errands. Preferred Qualifications Strong computer, typing, organizational, and proofreading skills. Excellent written and verbal communication skills. Ability to prioritize tasks and meet deadlines. Strong telephone etiquette and interpersonal skills. Trustworthy, discreet, and committed to maintaining confidentiality. Position Type Full-Time, 8:00 a.m.
