Administrative Assistant — Ancillary Services American Medical Administrators — Office of the Chief Ancillary Officer | Full-Time | In office/Hybrid - Slidell, LA About the Role The Ancillary Services Division is building fast — new labs, new facilities, new programs — and we need an organized, proactive Administrative Assistant to support our SVP/Chief Ancillary Officer and the broader team. You'll keep calendars, communications, and projects moving so leadership can focus on strategy. This role is ideal for someone who loves structure, anticipates needs, and handles sensitive information with discretion. What You'll Do Manage the CAO's calendar: schedule meetings across executives, counsel, vendors, and facility leaders; protect focus time; resolve conflicts. Coordinate meetings end to end — agendas, materials, notes, and follow-up action tracking. Draft, proofread, and format emails, memos, presentations, and reports for internal and external audiences. Maintain team trackers, dashboards, shared files, and project documentation (Microsoft 365: Teams, Lists, SharePoint, Excel, PowerPoint). Support travel arrangements, expense reports, and invoice/AP routing. Invoice Tracking and Reconciliation Field and route incoming requests to the right team member; follow up to make sure nothing stalls. Assist with onboarding logistics for new team members and facilities. Handle confidential business, legal, and compliance materials with strict discretion. Advanced proficiency with Microsoft 365 (Outlook, Teams, Excel, PowerPoint, SharePoint). Experience supporting senior leadership and coordinating across departments. High school diploma required; associate or bachelor's degree preferred. Compensation & Benefits $45,000-$58,000 annually, depending on experience, plus benefits. Hybrid with standard business hours and flexibility for occasional early/late meeting coverage. Light Travel.
