The Project Administrator supports our Project Managers and oversees project coordination from initial setup through fabrication, erection, and final closeout. The role serves as a key liaison among project management, production, field teams, subcontractors, general contractors, and vendors. Coordinate project setup, schedules, documentation, job tracking systems, and project management platforms including Procore, Raken, StruMIS, and related systems. Manage subcontractor coordination, including contracts, purchase orders, scheduling, invoicing, change orders, insurance certificates, and compliance documentation. Oversee project insurance and compliance requirements, ensuring subcontractors meet contractual and site-specific requirements prior to mobilization. Manage submittals, RFIs, drawing revisions, approvals, and document control to keep fabrication and erection activities on schedule. Track change orders, cost impacts, RFQs, ASIs, subcontractor pricing, and other project-related financial documentation. Coordinate welding permits, fire watch requirements, special inspections, and other regulatory and safety documentation. Support fabrication and production by coordinating material releases, drawing revisions, purchasing information, and communication among detailing, shop, and field teams. Coordinate field documentation, erection plans, installation drawings, safety records, daily reports, JSAs/JHAs, and other required field documentation. Track non-conformances and work with Quality Control, detailing, production, and project teams to resolve fabrication or field issues. Manage project closeout requirements, including punch lists, as-built drawings, warranties, LEED documentation, and other turnover requirements. Participate in project coordination and production meetings, maintain schedules and action items, and proactively identify potential delays or project issues. Provide leadership and support to Project Administrators, including assigning work, monitoring progress, mentoring staff, and helping improve project management processes. Serve as a primary point of contact for general contractors, subcontractors, and internal departments at the direction of Project Management, Field Supervision, and Production Management. This positions is based in Rowley, MA and will not have the option of remote work arrangements.
