Part-Time Administrative Assistant, Planning & Development

Job Description

The Town of Berwick is seeking an organized, detail-oriented Administrative Assistant to support the Planning & Development Office. This is a regular part-time, non-exempt position scheduled at 20 hours per week, reporting to the Director of Planning & Development.
ABOUT THE POSITION
The Administrative Assistant is the first point of contact for the department, serving residents, contractors, real estate agents, and businesses in person, by phone, and by email. The position provides administrative, clerical, and customer service support to both the Code Enforcement Officer and the Director of Planning & Development.
Primary responsibilities include:
Scheduling inspections, appointments, and meetings for the Code Enforcement Officer Receiving applications, reviewing them for administrative completeness against a checklist, processing fees, and routing applications for review Providing general information on application procedures, submission requirements, fees, and meeting schedules, and referring questions of ordinance interpretation and permitting decisions to the Code Enforcement Officer or Director Establishing and maintaining organized paper and electronic filing systems for permits, applications, plans, correspondence, and enforcement records Maintaining the subdivision and plat room, including filing, indexing, and retrieval Preparing violation correspondence and notices for review and signature by the Code Enforcement Officer, and maintaining the violation tracking log Maintaining MS4 program records and compiling materials for the annual report Assembling and distributing Planning Board and Board of Appeals meeting packets, and mailing abutter notices prepared by the Director
WHAT WE ARE LOOKING FOR
We are looking for someone who builds and maintains good systems. The successful candidate will bring strong organizational and time management skills, working knowledge of general office practices, recordkeeping, and filing systems, and proficiency with technology. The work requires accuracy despite frequent interruptions, sound judgment about when a matter should be referred up, and a tactful, courteous approach with the public and the building community.
MINIMUM QUALIFICATIONS
High school diploma or equivalent Two years of prior work experience, or any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities
COMPENSATION AND BENEFITS
Starting pay is up to $25.00 per hour depending on qualifications and relevant experience. At 20 hours per week, this position accrues prorated Paid Time Off and receives paid holidays that fall on a regularly scheduled workday, prorated to the regular workday schedule. The position is eligible to participate in the MissionSquare retirement program without a Town match. This position is not eligible for Town health, dental, vision, or life insurance.
