AWBS offers comprehensive, person-centered services for individuals with mental illness, substance use disorders, and intellectual developmental disabilities . Our services include assessment and evaluation, individual and group therapy, case management, skill-building, recovery support and more. Our team is dedicated to empowering individuals through compassionate, high-quality care tailored to their unique needs that promotes independence, recovery, and well-being. Position Overview The Clinical Office Assistant plays a key role in supporting the daily operations of our behavioral health clinic. This position requires a highly organized, dependable, and proactive individual who can work both independently and collaboratively within a multidisciplinary team. The Clinical Office Assistant is responsible for appointment scheduling, managing communications, document preparation, and maintaining an efficient front office environment. Key Responsibilities
  • Greet and assist visitors, clients, and staff in a professional and welcoming manner.
  • Manage incoming phone calls, emails, and other correspondence.
  • Route messages to appropriate personnel.
  • Maintain staff appointment calendars.
  • Schedule meetings, appointments, and trainings using electronic systems.
  • Support front desk operations, including mail distribution, office supply inventory, and ensuring the reception area remains clean and professional.
  • Prepare, proofread, and format documents, reports, and presentations using Microsoft Word and Excel.
  • Maintain confidential client records in accordance with HIPAA and clinic policies.
  • Provide general administrative support to leadership and staff, including data entry, recordkeeping, and reporting.
  • Coordinate logistics for internal events, meetings, and trainings including room setup and materials.
  • Communicate updates and reminders to staff in a timely and professional manner.
  • Collaborate with clinicians and administrative team members to ensure smooth clinic operations.
  • Perform other duties as assigned. Required Skills & Qualifications
  • High school diploma or equivalent required; associate degree or relevant coursework preferred
  • Minimum of 2 years of administrative or secretarial experience, ideally in a healthcare or mental health setting
  • Proficiency in Microsoft Word, Excel, and general computer applications
  • Strong organizational, time-management, and communication skills (both verbal and written)
  • Ability to handle confidential information with discretion and in compliance with privacy regulations
  • Proven reliability, professionalism, and a customer service-oriented attitude
  • Ability to work independently as well as collaboratively within a team Physical Demands
  • Ability to lift and move up to 25 pounds.
  • Ability to sit for extended periods of time.
  • Ability to work for the duration of assigned shifts.
