The Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the 131 Departments. Responsible for some confidential and time sensitive materials. Able to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Duties and responsibilities include, but are not limited to: Assist the Backshops Department with daily office duties. Maintain Backshops groups including Cargo Loading, Storage Crew, Fuel Cell Crew, Seat Shop Crew, Accessory Shop, and Weld Shop Employees. Monitor Backshops training records to ensure that training requirements are met. Track the attendance of 131 Department employees. Work with Department 131 Supervisors, other Department Managers, also the Travel Department for making or coordinating travel arrangements for requested manpower of 131 Department employees and forwarding to billing any related Travel receipts from employees on their return for correct billing to OSC Billing Dept. Assist with completing and submitting various employee forms, including HR with new hire paperwork. Order office supplies through the Purchasing Department. Various clerical duties, including but not limited to filing and typing. Keep Backshops employees informed of company and departmental policy changes. Track the Dept. 131 travel expenses, shop material expenses for correct billing to OSC Billing Dept. Additional duties or projects that are assigned by the Backshops Manager. EDUCATION and/or
EXPERIENCE
Familiar with ADP. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. High School Diploma or equivalent required/some college preferred. Must be familiar with Microsoft Outlook, Word, Excel, and Adobe Acrobat. Must be able to conduct professional correspondence both verbally and written. Prior administrative assistant experience is a plus.
OTHER SKILLS
Must have excellent oral, written, and organizational skills. Attention to detail and high level of accuracy required. Strong analytical and problem-solving skills. Must be honest, trustworthy and able to maintain confidential information. Good interpersonal skills required.
LANGUAGE SKILLS
The ability to read, write, and understand spoken and written English.
