Administrative Assistant This role is part time position looking for 8-16 hours a week.
Job Summary:
The Administrative Assistant serves as the front-line representative for the entire agency, providing essential administrative and client support to ensure efficient daily operations. This role requires strong communication, organization, and technology skills to greet visitors, answer calls, and connect individuals with appropriate programs and community resources. The Administrative Assistant builds rapport with a diverse client base, often using empathy and problem-solving skills to assist individuals in crisis. With a focus on confidentiality, attention to detail, and adaptability, the Administrative Assistant helps create a welcoming, organized, and responsive environment that advances the agency's mission. Education and Experience
High School Diploma or GED.
Excellent customer service skills.
Experience navigating social service programs.
Experience working with confidential data.
Experience with data entry and record keeping is preferred. Required Skills and Abilities
Strong communication and interpersonal skills, including active listening and professional information sharing.
Excellent organizational skills with the ability to work independently, manage multiple priorities, and meet deadlines.
Able to use general office equipment such as copier, computer, and scanner.
Demonstrated attention to detail, accuracy, and ability to prepare professional correspondence and documents.
Proficient in daily computer use, including Microsoft Word, Excel, Publisher, and Outlook.
Ability to maintain confidentiality and exercise sound judgment.
Strong problem-solving and critical thinking skills, with the ability to adapt to both routine and unique tasks.
Demonstrate empathy and effective interpersonal skills when assisting individuals in crisis.
Bilingual skills are preferred but not required.
Must have access to reliable transportation.
Job Functions and Responsibilities:
Serve as the first point of contact by greeting visitors and callers, assessing needs, and directing individuals to appropriate programs or resources.
Build professional, respectful relationships with diverse clients, providing support and assistance, including helping individuals navigate community resources.
Support overall agency operations by staying organized, understanding program priorities, and maintaining accurate daily logs of client interactions and activities.
Provide administrative support, including preparing documents, correspondence, research, and data entry.
Manage office communications and records, including collecting and distributing mail, maintaining filing systems, and handling incoming deliveries.
Maintain a clean, organized, and welcoming reception area and shared office spaces.
Operate and troubleshoot office equipment; ensure supplies are stocked and coordinate repairs or reordering as needed.
Demonstrate initiative, continuous improvement, and adaptability in all duties.
