  • Medicare Polaris Insurance Solutions Lee's Summit, MO | Part-Time | In-Office Job Summary Polaris Insurance Solutions is seeking a Medicare Administrative Assistant to provide friendly, responsive, and organized support to our Medicare clients and insurance agents.
This role serves as an important point of contact for clients and helps keep the Medicare department organized, informed, and running smoothly. The ideal candidate is dependable, detail-oriented, professional, and comfortable communicating with clients by phone, email, and other platforms. This position is a great opportunity for someone who enjoys helping people, staying organized, and learning about the Medicare insurance industry. ResponsibilitiesClient Communication & Support Respond to client questions and requests by phone, email, and other communication platforms. Provide friendly and professional customer service while assisting clients with general questions and administrative needs. Contact clients proactively regarding appointment scheduling, annual reviews, missing information, and other follow-up needs. Take new client information and ensure it is accurately documented for the appropriate Medicare agent. Help clients understand next steps and direct questions or concerns to the appropriate Medicare agent when needed. Follow up with clients to ensure outstanding questions or issues are addressed. Maintain a professional, patient, and helpful demeanor when working with clients. Medicare Administrative Support Assist Medicare agents with day-to-day administrative tasks and client follow-up. Schedule Medicare appointments, annual reviews, and other client meetings. Help manage the Medicare department's appointment calendar and keep scheduling information organized. Assist with preparation and organization of client information and documents. Follow up on outstanding items, documentation, and client requests. Maintain accurate client records and document conversations and follow-up items. Assist with Annual Enrollment Period (AEP) scheduling, client outreach, and administrative support. Carrier & Vendor Coordination Contact insurance carriers and vendors as needed to obtain information regarding eligibility, coverage, billing, applications, and other client questions. Assist agents with obtaining status updates and resolving administrative issues. Communicate updates to clients and agents in a timely and professional manner. Data, Documentation & Organization Maintain accurate and up-to-date client records, including contact information, notes, and communication history. Document client interactions and outstanding follow-up items. Help maintain templates, resources, and internal processes used by the Medicare team. Protect confidential client information and follow HIPAA and company privacy procedures. Assist with general office and administrative tasks as needed. Qualifications Previous experience in customer service, administrative support, office support, or a related field preferred. Strong attention to detail and accuracy. Excellent written and verbal communication skills. Professional, friendly, and client-focused demeanor. Strong organizational and time-management skills. Comfortable speaking with clients over the phone and communicating through email. Ability to handle multiple tasks and prioritize responsibilities in a fast-paced environment. Comfortable learning new software, systems, and processes. Familiarity with HIPAA regulations is a plus. Previous insurance or Medicare experience is a plus, but not required. Willingness to learn about Medicare and the insurance industry.

  • Friday from 1:00 PM
  • 6:00 PM AEP is a particularly busy time for our Medicare department, and this position will provide additional administrative and client support during this period. Rest of the Year Monday
  • Thursday from 12:00 PM
  • 5:00 PM Friday from 10:00 AM
  • 3:00 PM Some flexibility in scheduling may be available based on business needs and team coverage.
