Albemarle, NC Position Summary We are seeking a dependable, organized, and customer-focused Administrative Assistant to support cemetery operations and pre-need administration. This full-time position provides administrative and clerical support for cemetery property, records, and pre-need paperwork, while working alongside our licensed Family Service Counselor/Funeral Director, who handles all pre-need arrangement discussions and sales. The ideal candidate will have strong customer service skills, a basic understanding of accounting principles, excellent organizational abilities, and the ability to manage multiple responsibilities while consistently meeting deadlines. No funeral director or pre-need sales license is required for this role. Primary ResponsibilitiesCemetery Management Serve as a primary point of contact for families and the public regarding cemetery property, markers, and related services. Support the purchase process for cemetery plots and markers by preparing paperwork and processing payments. Maintain accurate cemetery records, including ownership, sales, payments, and burial information. Coordinate and follow up on the ordering and installation of cemetery markers. Assist with scheduling and coordination of burials, installations, and cemetery-related activities. Maintain organized electronic and paper records. Prepare required monthly reports accurately and by established deadlines. Communicate with vendors, cemetery personnel, funeral homes, families, and other parties as necessary. Pre-Need Administrative Support Create and process pre-need files, including contracts, payment records, and required documentation for each customer. Maintain accurate, up-to-date pre-need customer records and files. Coordinate fulfillment of pre-need arrangements at time of need, retrieving contract files and working with families, staff, and vendors to ensure pre-arranged services and merchandise are properly delivered. Prepare and submit the required annual pre-need report to NC Board of Funeral Service ensuring accuracy and on-time filing. Provide clear, compassionate, and professional customer service throughout the paperwork and follow-up process, directing arrangement and product questions to our licensed Family Service Counselor. Follow up with families regarding incomplete paperwork, payments, and scheduled appointments. Track required documentation and ensure deadlines and follow-up requirements are met. Maintain confidentiality of personal and financial information. Update and maintain our CRM program Work closely with management and licensed staff to ensure pre-need records are complete and accurate. Qualifications & Skills Basic understanding of accounting principles, including payments, balances, reconciliations, and financial recordkeeping. Excellent customer service and communication skills. Strong organizational and time-management skills. Demonstrated ability to meet deadlines and follow through on responsibilities. Strong attention to detail and accuracy. Comfortable using computers, email, spreadsheets, word-processing programs, and recordkeeping systems. Ability to prioritize and manage multiple responsibilities. Professional telephone and written communication skills. Ability to maintain confidentiality and use discretion when handling sensitive information. Dependable, self-motivated, and able to work independently as well as part of a team. Valid driver's license, required for travel to cemetery grounds. Preferred Qualifications Previous experience in administration, accounting, customer service, funeral service, cemetery operations, insurance, or pre-need services is preferred but not required. Experience working with financial records, contracts, accounts receivable, or customer accounts is also beneficial. Physical Demands This role involves periods of walking cemetery grounds, which may include uneven terrain, and occasional outdoor work in varying weather conditions, in addition to standard office work. Ideal Candidate We are looking for someone who combines compassionate customer service with strong administrative and financial skills. Because this position frequently involves assisting families during important and sometimes difficult circumstances, patience, professionalism, accuracy, and sensitivity are essential. The successful candidate will take ownership of their responsibilities, work well with minimal supervision, maintain accurate records, follow through with customers, and ensure that reports, paperwork, and other requirements are completed by established deadlines.

From $17.00 per hour Expected hours: 40.0 per week
