Administrative Assistant Summit Family Dentistry | Denver, NC Every dental office has a layer of work patients never see, and right now ours is spread across people who are already busy. Insurance claims waiting on a follow up call. Statements that need to go out. The reports that tell us how the month is actually going. We are pulling that work into one role so the rest of the team can stay focused on patients. A good share of the job is insurance and billing support. You would generate AR reports on a set schedule, send out statements and EOBs, work outstanding claims through payer portals and follow up calls, appeal what gets denied, and track pre-authorizations so treatment can get on the schedule. The claims and pre-auth side takes real training and we will give it to you. Nobody walks in already knowing our systems. The rest is reporting and keeping the office running. Weekly production and new patient numbers, monthly hygiene and lab bill tracking, attrition letters, quarterly provider audits, and monthly sales tax reporting. Add to that ordering supplies, scheduling our service and equipment vendors, occasional errands like bank runs and print shop pickups, covering the phones when the front desk needs a hand, and having new hire paperwork ready before someone's first day. The days here are full and we move quickly, so we are looking for someone efficient who stays organized with a lot on their plate. We are also a team that helps each other, and we want someone who jumps in when a coworker is underwater and who takes feedback as something useful rather than something to brace for. If you like closing loops and watching a list get shorter, you will fit here. What you would own AR statements and flex statement management, including daily review of what has been paid Outstanding insurance claims, from reports and payer portals to follow up calls and appeals Pre-authorization follow up and handoff to scheduling Weekly, monthly, and quarterly reporting on production, new patient numbers, hygiene bonus figures, lab bills, and provider audits Monthly attrition letters and sales and use tax reporting Office supply ordering and scheduling for equipment, plumbing, and building service vendors Office errands, team birthday and anniversary tracking, and phone support when needed New hire paperwork prep and onboarding documents What you need to bring Strong organizational skills and accuracy with numbers and details Comfort on the phone, including with insurance representatives Solid computer skills and the ability to learn new software quickly Follow through, so nothing sits half finished A team-first attitude and a willingness to help wherever it is needed The habit of working a problem through to an answer without someone standing over you Dental office experience is a real plus. If you have it, you have most likely done a version of everything on this list already. The details This is a part-time role at our Denver office, roughly 20 hours a week to start, with room to grow into full-time. Starting pay is [$17-$18] depending on experience.]. We train on our systems, the software we use, and our insurance workflows. From there our ideal candidate can take projects and run, work through the problems that come up, and find answers without waiting to be walked through them.
