A financial company in Woodcliff Lake, NJ is seeking an experienced, highly organized, and detail-oriented Administrative Assistant to support executive leadership, Human Resources, recruiting, and daily office operations. Legal Secretary experience is a plus. Essential ResponsibilitiesAdministrative Support Provide administrative support to executive leadership and department managers. Coordinate calendars, meetings, training schedules, and company events. Open, distribute, and process incoming mail and correspondence. Monitor returned mail and update records promptly. Order office supplies and maintain inventory levels. Coordinate company lunches, employee events, and holiday functions. Assist with office operations, vendor coordination, copier management, workspace setup, and equipment needs. Support office moves, desk configurations, and employee workspace setup. Human Resources Administration Coordinate new hire orientation and onboarding activities. Process new hire paperwork Maintain employee personnel files, both physical and electronic. Administer PTO tracking and maintain attendance records. Assist with employee benefits administration and COBRA processing. Support 401(k) administration and compliance activities. Process unemployment claims and related documentation. Coordinate employee communications and company announcements. Recruiting Support Source, screen, and recruit qualified candidates for open positions. Conduct initial candidate screenings and phone interviews. Schedule interviews with management and hiring managers. Support recruiting efforts for field representatives and other departments. Maintain applicant tracking and recruiting documentation. Increase recruiting activity and proactively build candidate pipelines. Post positions on job boards Payroll and Compliance Process payroll with a strong focus on accuracy and attention to detail. Support compensation administration and employee record maintenance. Maintain compliance with federal, state, and company employment requirements. Ensure accuracy of HR records and documentation. Technology and Office Operations Support Coordinate IT setup for new hires and field representatives. Ensure equipment, system access, and technology requirements are completed timely. Provide basic administrative technology support for leadership when needed. Coordinate ordering and setup of office equipment and supplies. Additional Responsibilities Assist managers and leadership with special projects and administrative requests. Support daily operational needs of the President and executive team. Perform additional administrative duties as assigned.
