Job Description

Kitchen Gallery is a locally owned and growing kitchen cabinet showroom proudly serving East Moriches and the surrounding Long Island area. We specialize in high-quality kitchen cabinetry and work closely with homeowners, contractors, builders, and designers to bring their projects to life. We are looking for a dependable, organized, and personable Showroom Administrator / Bookkeeper to become an important part of our team. This position is ideal for someone who is comfortable handling the day-to-day administrative and bookkeeping responsibilities of a small business while also interacting with customers and helping keep a busy showroom organized. There is also an opportunity for the right person to learn more about cabinetry, kitchen design, and sales as our company continues to grow. Position Overview This is a hands-on position responsible for helping manage the administrative and financial side of our showroom. The ideal candidate will be comfortable working in QuickBooks, creating invoices and purchase orders, communicating with vendors, tracking orders, scheduling appointments and deliveries, and helping ensure that customer projects stay organized from sale through delivery. You will also be one of the first people customers interact with when they call or visit the showroom, so professionalism, communication skills, and a friendly personality are important. We are looking for someone who takes ownership of their responsibilities, stays organized without constant supervision, and enjoys being part of a growing small business. Primary Responsibilities Manage day-to-day QuickBooks entries and bookkeeping tasks Create and maintain customer invoices, estimates, purchase orders, and payments Enter and process cabinet and material orders Communicate with cabinet manufacturers, countertop suppliers, and other vendors Track orders, lead times, backorders, damages, and delivery dates Coordinate customer deliveries and scheduling Maintain accurate customer and project records Monitor outstanding invoices and assist with accounts receivable Organize vendor invoices, bills, receipts, and purchasing records Answer and direct incoming phone calls professionally Greet customers and walk-in visitors Schedule showroom appointments and maintain calendars Respond to customer and vendor emails Assist designers and ownership with customer follow-ups and project coordination Help customers with basic product questions and cabinet selections Maintain an organized, professional showroom environment Assist with general administrative tasks, filing, data entry, and document preparation Assist with social media and basic showroom marketing when needed Qualifications QuickBooks experience strongly preferred Previous bookkeeping, office administration, accounts receivable/payable, or similar experience preferred Strong organizational skills and attention to detail Comfortable working with invoices, purchase orders, payments, and financial records Excellent written and verbal communication skills Professional and friendly phone etiquette Comfortable communicating directly with customers, vendors, contractors, and manufacturers Proficient with computers, email, Google Workspace, and general office software Able to manage multiple projects, orders, and deadlines at the same time Reliable and capable of working independently when ownership is out of the showroom Willing to learn our cabinet manufacturers, products, ordering systems, and processes Experience in cabinetry, construction, remodeling, interior design, or a showroom environment is a plus, but not required What We're Looking For More than anything, we are looking for someone who is reliable, organized, proactive, and accountable. This is a small-business environment where everyone plays an important role. We want someone who notices what needs to be done, follows through, communicates well, and takes pride in keeping things organized. You do not need to be a kitchen designer to start. We are willing to train the right person on our products and processes. For someone interested in growing beyond the administrative side of the position, there may also be opportunities to learn kitchen design, cabinetry, quoting, and sales over time.
