POSITION SUMMARY
The Estimating & Project Administrator is responsible for managing and organizing the estimating department, assisting project managers and with core responsibilities to ensure estimating and projects are completed on time and under budget. This position also ensures all administrative paperwork from estimates to purchase orders is executed properly and efficiently.
ROLE AND RESPONSIBILITIES
- Assign new RFQ's with a quote number, update RFQ list and assign quotes to estimating team.
- Facilitate weekly or bi-weekly estimating meetings
- Work closely with Sales Managers and Estimators to develop Request for Quotes in a timely manner.
- Upon receipt of Purchase Orders, thoroughly review contracts for all requirements to ensure that we have the ability to meet the product and service requirements. Execute Contract Review process. confirm and coordinate needs with Quality Control
- Responsible for document control, drawings distribution, drawing revision distribution, purchase order distribution, and work order distribution.
- Responsible for updating customer changes through revisions and controlling the revisions to ensure the correct version of any revision is distributed correctly.
- Collect and report to top management in Management Reviews Key Performance Indicator (KPI) report monthly regarding: Win/Lose Quote ratios, Loss of Job reviews, Customer feedback logs, etc
- Execute all administrative paperwork necessary to execute RFQ's and purchase orders correctly and efficiently. Update active job sheets as we are awarded jobs.
- Ensures the completion of all required Quality Control paperwork, job hour reporting, and other job-related records and documentation
- Collect Quality Inspections from the Inspection team and prepare and present Quality Data Packages for customers.
- Compose and issue Change Orders to customers and maintain project Change Order logs.
ABILITIES / QUALIFICATIONS
- Must have a thorough understanding of steel fabricating and machining processes
- Organized and detail oriented
- The ability to work under pressure to meet set goals, budgets and deadlines
- Proficiency with word processing, Excel spreadsheets or estimating software
- The ability to manage time well and multitask
- Must be willing to work overtime as needed
- Ability to think strategically
- Ability to communicate clearly
