Overview The Program Services Assistant provides administrative and clerical support to the Program Services Department to ensure sufficient operation of programming functions. This role requires strong communication, organizational, and clerical skills. This position participates in required in-service training to obtain and maintain a working knowledge of ICF/IID regulatory requirements, facility policies and procedures, and services provided to individuals with developmental disabilities. The position will exert 20 to 50 pounds of force occasionally, or 10 to 25 pounds of force frequently, or greater than negligible up to 10 pounds constantly.
Specific Responsibilities:
1. Performs general clerical duties such as typing, filing, copying, and proofreading. 2. Prepares correspondence for the Program Services Department to be sent to guardians, parents, and various agencies. 3. Assists in compiling and organizing materials for various meetings including but not limited to the Behavior Support/Medication Review Committee, UI/MUI Committee, Human Rights Committee, and Apartment meetings. 4. Copies and organizes documentation materials for the Qualified Intellectual Disability Professionals (QIDPs). 5. Takes minutes at facility meetings which may include Behavior Support/Medication Review Committee & UI/MUI Committee, Medication Review Committee, Human Rights Committee, and Apartment meetings and produces minutes in a complete, clearly expressed typed form. 6. Assists in keeping Program Services files in order. 7. Communicates with family members and the general public in a courteous manner. 8. Purges and maintains files in accordance with retention schedules. 9. Maintains and updates master form files and create new forms as needed for the Program Services Department. 10. Demonstrates willingness to learn and apply new technology and software. 11. Maintains all required licensure and certification as required by state and local laws. 12. Demonstrates knowledge of and adherence to Mount Aloysius policies and procedures. 13. Collects and compiles information as requested by the Program Director. 14. Maintains confidentiality in accordance with HIPAA and applicable regulations. 15. Perform other duties assigned by the Program Director and/or Administrator/Director of Operations.
Preferred Characteristics:
- High school diploma or equivalent required.
- Minimum of 1 to 2 years of clerical experience, preferably in an office or professional setting.
- Strong verbal and communication skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines.
- Proficient in Microsoft Office (Word, Excel, Outlook) and basic office equipment.
- Ability to follow both oral and written instructions.

- Basic math and clerical accuracy skills.
