Job Description

Administrative Services Specialist City of Perkins, Oklahoma The City of Perkins is accepting applications for an Administrative Services Specialist to join the City Hall administrative team. This is a varied position for someone who is organized, dependable, comfortable learning new things, and able to research questions and work through problems rather than simply passing them along.

About the Position Reporting to the Finance Director/City Clerk, the Administrative Services Specialist provides administrative and project support across a variety of City functions. The position tracks assigned projects, deadlines, documentation, and outstanding items; assists customers and processes payments; maintains records and performs data entry; supports payroll, human resources, grants, and other administrative processes; and develops proficiency in the City's administrative software systems and online platforms. This position will also play a role in helping the City make effective use of technology. The Administrative Services Specialist will learn multiple City software systems, assist staff with routine technology questions and basic troubleshooting as appropriate, become familiar with the City's technology support resources, and help coordinate with the appropriate support provider when needed. The successful candidate should be someone who is comfortable encountering a task, question, or system they have not seen before and using available resources to learn about it. The position requires the ability to research issues, identify potential solutions or courses of action, and present useful information and options to supervisors or other staff. Examples of Duties Coordinate and track administrative projects, deadlines, documentation, approvals, signatures, and follow-up. Maintain accurate, organized, and current files and records. Provide courteous customer service by telephone, in person, and electronically regarding a wide variety of City services. Receive and process customer payments and assist with daily receipt close-out. Perform accurate data entry and prepare, compile, and review reports and administrative information. Provide administrative support for payroll, human resources, grants, reimbursement requests, nuisance abatements, and other City functions. Learn and use multiple administrative software systems, applications, and online portals. Research unfamiliar questions, processes, and routine problems using manuals, online resources, training materials, and other available resources. Assist with basic technology questions and coordinate with outside technology or software support when appropriate. Assist with evaluating, testing, documenting, and transitioning to new software, systems, and procedures. Cross-train with other City Hall employees and provide support as assigned. What We're Looking For The City is particularly interested in applicants who demonstrate strong organizational skills, attention to detail, follow-through, customer service skills, comfort with technology, and the ability and willingness to learn independently. Municipal government experience is helpful but not required . Experience in administrative or office support, project or deadline tracking, customer service, cash handling, accounting or finance support, records management, payroll or human resources support, software systems, or similar responsibilities may be valuable preparation for this position. Minimum Qualifications Applicants must have a high school diploma or GED and qualifying experience and/or education appropriate to the position. College, technical, or vocational education in business administration, office administration, public administration, accounting, finance, information systems, or a related field may substitute for a portion of the experience requirement. A valid Oklahoma driver's license is required. The successful applicant must be willing to undergo a background investigation, meet the City's residency requirements, and be available for occasional evening meetings or other hours as required.
