Job Description

Job Summary The Caldera Springs Owners' Association (CSOA) is a beautiful resort community with full-time homeowners, part-time homeowners, over-night lodging units, restaurants, golf courses, nature trails, pools, and many other resort amenities! The CSOA community is managed by the Board of Directors, a slate of committees, and Owners' Association staff members. The CSOA Administrator will work directly with and report to the CSOA General Manager, providing for the Association's daily needs. This Administrator is responsible for overall administrative support for the Caldera Springs Owners' Association. They will work with Association owners, guests, contractors, and Sunriver Resort Associates to ensure the effectiveness and overall success of the Caldera Springs operations.
ESSENTIAL JOB FUNCTIONS
Maintain departmental spreadsheets, databases, and accurate ownership/rental home inventory. Update association contracts annually with policy and fee revisions. Serve as the first point of contact for owners and guests—providing information, answering questions, and delivering exceptional service in person and by phone. Monitor and update Caldera Springs website content for accuracy. Provide clerical and data entry support, including filing, correspondence, reports, and complex Excel spreadsheets.
Manage office operations:
mail distribution, supply inventory, equipment maintenance, and overall office organization. Build and maintain strong homeowner relationships while handling confidential information with discretion. Attend Board and Owner meetings, record minutes, and prepare final drafts for the General Manager. Organize and support Board and Annual Association meetings. Administer the Rental Registration program, including submissions, billing, and audits. Resolve guest issues promptly and professionally. Manage Harper's Outpost rental applications and calendar. Process weekly invoices and coordinate with financial providers. Assist with drafting project contracts from templates and creating ownership surveys. Prepare and distribute required mailings and meeting notices to owners.
GENERAL JOB FUNCTIONS
Instills a calm, organized approach in all stressful situations Responds to any applicable owner, guest or general inquiry request as needed Offers warm and sincere welcome/farewell to all owners Maintains an up to date working knowledge of all community amenities as well as any special events Follows set procedures on posting owner charges, creating/managing owner/rental ID cards Maintaining gate databases and Siret gate tag system Onboarding new owners into the community Acts with responsibility towards all Association property, supplies and equipment Maintains a professional appearance Remains alert, courteous and helpful to the owners, guests and colleagues at all times Performs other duties as assigned to support Association staff
JOB REQUIREMENTS
Must be a United States citizen or possess a valid work permit Must have a valid driver's license and meet company driving standards Must have excellent phone etiquette Must be able to read, write and speak English Must have strong computer skills Must have strong working knowledge of Microsoft Office programs Must have exceptional detail in follow-up Must be able to work well under pressure Must have excellent listening skills Must be able to accurately follow instructions, both verbally and written Must possess excellent communication skills Must be professional in appearance and demeanor Must always ensure a teamwork environment Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner If you are a motivated individual looking to contribute to a growing team environment while utilizing your administrative skills in the unique homeowners association industry, we encourage you to apply for this exciting opportunity as the Caldera Springs Administrator!
