The Administrative Assistant provides comprehensive administrative and clerical support to the Planning, GIS, and Assessment Departments. This position serves as the primary point of contact for departmental communications and supports the efficient coordination of daily operations, records management, public inquiries, meetings, projects, and community outreach. Responsibilities also include coordinating central purchasing activities, maintaining website and social media content, assisting with planning and zoning correspondence, and supporting departmental projects and public engagement efforts. Success in this position requires strong organizational and communication skills, attention to detail, sound judgment, and the ability to work effectively with County staff and members of the public. Work is performed under the general supervision of the Chief Operating Officer/Chief Clerk and in collaboration with departmental staff.
Essential Functions:
The following duties are typical for this position and are not intended to be exclusive or all-inclusive. Additional duties may be assigned as necessary.
Serves as the primary point of contact and receptionist for general County-related calls, visitors, and inquiries, including those involving the Planning, GIS, and Assessment Departments; greets and assists the public, screens inquiries to determine their nature, provides general information, directs callers and visitors to the appropriate department or staff member, and accurately takes and relays messages as needed.
Provides general administrative support, including filing, scanning, copying, data entry, scheduling, mail processing, and electronic communications.
Prepares, formats, and distributes correspondence, reports, agendas, meeting minutes, presentations, and other departmental materials.
Coordinates meeting schedules, room reservations, calendars, and logistics for public meetings, hearings, workshops, boards, and committees.
Assists with required advertising and public notices and prepares supporting materials for meetings, hearings, and community outreach activities.
Processes purchase orders for County departments and coordinates the ordering of supplies through Central Purchasing.
Researches pricing and purchasing options to support cost-effective and timely procurement.
Tracks and allocates charges to departments for supplies obtained through Central Purchasing on a daily and monthly basis.
Maintains accurate office supply inventory records and coordinates replenishment as needed.
Assists with the preparation of planning and zoning documents, application tracking, correspondence, and the maintenance of public records.
Organizes and maintains departmental records, project files, archives, and reference materials in both electronic and hard-copy formats.
Assists members of the public with deed and title research and with completing forms and applications related to planning, permitting, zoning, or assessment processes.
Updates and maintains departmental website content to ensure that information regarding planning projects, maps, applications, public notices, and announcements remains accurate and current.
Creates and schedules social media content concerning departmental projects, grant opportunities, public notices, meetings, and community engagement initiatives.
Assists with formatting, editing, and publishing maps, plans, reports, presentations, and visual materials produced by Planning and GIS staff.
Collects, organizes, and compiles information for departmental reports, grant applications, surveys, special projects, and community planning initiatives.
Maintains contact lists, stakeholder directories, mailing databases, and distribution lists for departmental projects, boards, committees, and public updates.
Monitors and assists with Right-to-Know Law requests directed to the Planning and GIS Departments in coordination with the County's Open Records Officer.
Ensures that incoming and outgoing correspondence, mail, and electronic communications are processed and distributed in a timely manner.
Supports departmental operations in accordance with applicable County policies, procedures, and administrative requirements.
Performs other related duties as assigned to support the effective and efficient operation of the Planning, GIS, and Assessment Departments.
Attends occasional after-hours meetings, hearings, workshops, or public events as required.

From $31,980.00 per year
