Position Summary The Borough Secretary / Administrative Coordinator serves as a key administrative professional responsible for municipal records management, council support, public communications, regulatory compliance, and administrative operations. Essential Duties and Responsibilities
Maintain official Borough records, ordinances, resolutions, meeting minutes, and other documents required by law; serve as custodian of the Borough seal and certify official records.
Prepare and distribute agendas, meeting packets, public notices, and other required communications; attend Council and Planning Commission meetings as directed and prepare minutes.
Ensure compliance with Pennsylvania municipal recordkeeping, public meeting, and reporting requirements.
Coordinate publication of ordinances, notices, and legal documents and provide administrative support to Borough officials, boards, and commissions.
Prepare and submit required reports and filings to state and local agencies. Administrative & Operational Responsibilities
Serve as the Borough's Right-to-Know Officer and manage resident service requests and municipal applications.
Administer utility account management functions, payment plans, delinquency notices, and monthly reporting.
Maintain the Borough website, social media platforms, calendars, and resident communications.
Coordinate employee benefits administration, workers compensation documentation, and employee support.
Prepare and submit required regulatory reports and compliance filings.
Perform general office administration, customer service, and other related duties as assigned. Qualifications
High school diploma or equivalent required; higher education preferred.
Administrative, office management, municipal government, or related professional experience preferred.
Strong organizational, communication, customer service, and recordkeeping skills.
Proficiency with Microsoft Office and standard office technology.
Ability to maintain confidentiality, manage multiple priorities, and work effectively with residents, employees, elected officials, and outside agencies.
Knowledge of local government operations, Right-to-Know requirements, website/social media administration, benefits administration, or regulatory reporting is a plus.
