Job Description

COMPANY OVERVIEW

POSITION OVERVIEW
The Administrative Assistant provides administrative, organizational, and project support to the Director of Organization and the Organization Division. This position plays an important role in coordinating division activities, maintaining records and information, supporting meetings and events, and assisting with special projects and initiatives. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities while maintaining professionalism and accuracy. This individual should possess strong communication skills, demonstrate initiative, and be comfortable utilizing Microsoft Office applications and other technology systems to support the work of the Organization Division.
POSITION RESPONSIBILITIES
Provide administrative support to the Director of Organization and Organization Division, including calendar management, correspondence, meeting coordination, and document preparation. Coordinate division meetings and events by preparing agendas, recording and distributing minutes, maintaining schedules, and assisting with annual meetings, district meetings, and other organizational functions. Manage travel and expense administration for division staff, including travel arrangements, expense reports, and credit card reconciliation documentation. Maintain organizational records and information systems, including leadership databases, reports, calendars, forms, and departmental resources. Support division projects and initiatives by tracking action items, monitoring deadlines, coordinating follow-up activities, and assisting with project implementation. Assist staff and members with administrative inquiries, reports, and operational processes while providing excellent customer service and problem resolution. Other Responsibilities Perform other duties as assigned, which may include assisting with special projects or providing support to other areas as needed.
REQUIRED QUALIFICATIONS
Education and Experience Associate degree preferred; equivalent work experience will be considered. One to three years of administrative, office coordination, customer service, or related experience preferred. Experience supporting multiple projects, teams, or operational activities is beneficial. Knowledge, Skills, and Abilities Strong organizational and time-management skills. Ability to prioritize work and manage multiple projects simultaneously. Proficiency in Microsoft Office applications, including Outlook, Word, Excel, Teams, and PowerPoint. Effective written and verbal communication skills. Strong attention to detail with accurate data entry and recordkeeping abilities. Ability to work independently and collaboratively within a team environment. Strong problem-solving and critical-thinking skills. Ability to learn and utilize proprietary software and information systems. Professional judgment and ability to maintain confidentiality. Positive attitude and commitment to delivering excellent customer service. Physical Requirements Ability to work in a traditional office environment. Ability to sit, stand, walk, and use standard office equipment for extended periods. Occasional lifting of materials weighing up to 25 pounds. Occasional travel is required for meetings, conferences, and the annual meeting.
