Position Summary:
This position serves as the office manager and secretary for the County Extension Agent of Agriculture, County Extension Agent for Family and Community Health and the County Extension Agent for 4-H and Youth Development. The position represents the Texas A&M University System and Texas A&M AgriLife Extension Service and will act as a liaison with all county state and federal offices, and all organizations associated with the Extension Office. This position serves as an assistant for programming efforts in Agriculture, Family and Community Health, 4-H & Youth Development, and Community Development Programs. The position will assist in the planning, organizing, and conducting of educational activities associated with each of the above-mentioned areas.
Essential Job Functions:
1. Responds to clientele questions and concerns in the absence of agents and when appropriate.
2. Prepares correspondence in the areas of Agriculture, Family and Community Health, 4-H and Youth Development, and Community Development including but not limited to letters, newsletters, news releases, agendas, sign-in sheets, expense reports, fliers, printed programs agent reports, research demonstration reports, and handbooks.
3. Receives and processes entries for various 4-H activities including local livestock shows, major livestock shows, and county, district and state level 4-H competitions.
4. Participates and takes minutes during bi-monthly office staff conferences.
5. Assists with various county-level events by coordinating publicity, ordering supplies, booking facilities, participant registration and assist with conducting actual activity.
6. Maintains up to date balances of local Extension program bank accounts
Additional Job Duties:
Prepares and stays current and abreast of various county, district and state events.
Maintains a profession and organized office environment.
Assists clientele via office visits, phone calls and e-mails.
Maintains a calendar of county, district and state events for all Ag., FCH, and 4-H activities.
Receives and processes enrollments and memberships for various organizations associated with Texas A&M AgriLife Extension Service, including but not limited to, 4-H, Program area committees, Leadership Advisory Board, 4-H Adult Leaders Association, and local stock show boards.
Receives, organizes, and distributes mail to appropriate staff members.
Stays current with penalty mail regulations and prepares outgoing mail accordingly.
Maintains current mailing lists for various Extension groups and organizations.
Keeps up to date and follows County and Extension policies and procedures.
Any other duty as assigned by the supervisor within the scope of the department.
Minimum Requirements:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The qualifications listed below are representative of the knowledge, skill, and/or ability required.
Education:
High school diploma or
GED Experience:
Minimum of three (3) years of clerical experience.
Minimum of one (1) year of experience in public relations or related field.
Required Skills:
Proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, Publisher and Outlook).
Familiarity with Tx4H and Canva. (preferred)
Managing accurate paper and electronic files.
Ability to perform simple calculations and ensure proper grammar, spelling, and syntax in written communication.
Ability to balance checking accounts and prepare financial statements for local accounts associated with the Extension programs.
Familiarity with operating standard office equipment like copiers, adding machines, and phones.
Ability to multitask while maintaining accurate details and reaching deadlines.
Ability to work independently while effectively understanding and applying verbal and written instructions.
Strong oral and written communication skills
Bilingual in English and Spanish (preferred, but not required)
Physical Requirements & Working Conditions:
This position regularly requires an employee to stand; walk; use arms and hands to reach, feel objects, tools and controls. The employee is occasionally required to climb or balance; stoop; kneel; crouch or crawl; talk or hear; and smell. The employee must regularly lift and/or move up to 20 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by the job include close vision, peripheral vision and depth perception.
