Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of daily operations, ensuring smooth office management and exceptional support to staff and patients alike. Your proactive approach, combined with your excellent communication skills and technical proficiency, will help foster an efficient and welcoming environment. Duties Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Coordinate calendar management, scheduling appointments, meetings, and conference calls efficiently Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office Provide exceptional customer service by responding promptly to inquiries via phone, fax or email, ensuring client communication is clear and courteous Support office management tasks such as tracking office needs, organizing documents, and overseeing general administrative functions Perform intake processes for new hospice patients including insurance verification and understanding in Medicare and Medicaid, authorization retrieval, data entry for chart creation in hospice software, communicating via phone/fax with physician offices, hospitals, etc. Proofread documents for accuracy, consistency, and proper formatting to uphold professional standards Assist with personal assistant duties when needed to the administrator Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes Experience healthcare including insurance knowledge, especially Medicare & Medicaid Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Exceptional phone etiquette and communication skills for front desk and client interactions Bilingual abilities are a plus to better serve diverse client needs Demonstrated office management experience with strong clerical skills including filing, proofreading, and document preparation Ability to prioritize tasks efficiently using time management techniques to meet deadlines consistently Technical proficiency in handling multi-line phone systems, calendar management tools, and productivity software Customer support experience with a focus on delivering friendly, professional service at all times Join us in creating a positive impact through efficient office operations! Pay:
$20.00 - $25.00 per hour Expected hours: 40.0 per week
