Administrative Assistant Position Description Lake Wisconsin Evangelical Free Church (LWEFC) N1640 Ryan Road, Lodi, WI 53555 https://lwefc.org/ The Church Administrative Assistant at Lake Wisconsin Evangelical Free Church plays a vital role in advancing the mission of the church—to glorify God by making disciples of Jesus Christ through the teaching of God's Word, authentic community, and faithful service. This position exists to support that mission by providing organized, reliable, and confidential administrative support to the pastoral team and church treasurer, helping ensure that church ministries operate with clarity, excellence, and consistency.

20 hours/week [9 AM - 1 PM, Monday to Friday] 25 hours would be considered if required or desired. Hours could be somewhat flexible.
Compensation:
$18-$23/hour based on experience
SUMMARY:
The Administrative Assistant position provides support to the pastoral staff and church treasurer. Working closely with the pastoral staff, this role assists in coordinating ministry activities, managing communication, and supporting financial and operational processes so that pastors and ministry leaders are equipped to effectively shepherd, disciple, and serve the church body. Through both relational engagement and administrative excellence, the Administrative Assistant strengthens the day-to-day function of the church and helps position its ministries for meaningful impact within the congregation and the broader community.
JOB REQUIREMENTS
  • The position requires proficiency in the following skills: relational, clerical, organizational, accounting software (QuickBooks preferred), social media, proofreading, grammar, creative, and computer (Microsoft Office Suite preferred).
Specifically, WORD, EXCEL, PUBLISHER and
POWERPOINT.
Must be willing to receive training in any of these skills if necessary.
  • The Administrative Assistant will be a professing follower of Jesus Christ and active member or regular attender of a church (whether another Church or LWEFC internally) . If internal, we desire a work-life balance and separation of work time from personal time.
  • The administrative assistant must adhere to rules of complete confidentiality, be welcoming and friendly in character and disposition, and have a clean background check. He/she must be in agreement with the Core Values of LWEFC.
  • Must speak and write fluent English.
Spanish as a secondary would be valued.
JOB RESPONSIBILITIES
A. Support the Pastoral Staff.
  • Assist in scheduling and coordinating appointments.
  • Assist in planning and implementation of ministry activities.
  • Participate in weekly staff meetings in prayer, Scripture reading, scheduling, member updates, and ministry evaluations.
  • Perform other tasks as assigned by Senior Pastor. B. Support in the areas of finance and accounting
  • Maintain accurate financial records in QuickBooks software including bank reconciliations, accounts payable entries and check writing, accounts receivable/donations, vendor management and other basic bookkeeping tasks.
  • Track and record income from church donations, fundraisers, and sales.
  • Prepare Financial Reports where needed.
  • Work with the church Treasurer to process Intuit Payroll.
  • Reconcile church credit card accounts.
  • Initiate and guide the annual budget process in conjunction with the Lead Trustee. C. Support general church ministries
  • Coordinate church activities and maintain the church calendar.
  • Maintain church website, Facebook, and online calendar.
  • Maintain schedule of buildings and grounds usage.
  • Prepare publicity materials and other documents to support ministries.
  • Order materials and supplies.
  • Prepare weekly church communications and bulletins (Publisher).
  • Handle phone calls, mail, and deliveries, during work hours.
  • Coordinate service and maintenance appointments.
D. Perform other requested tasks only if approved by the Senior Pastor.
