Job Description

At Lodi Middle School, we believe every student deserves to feel known, supported, and challenged. Our office team creates the positive first impression of Lodi Middle School, ensuring students, families, staff, and visitors receive exceptional service every day. We value teamwork, positive relationships, continuous improvement, and a shared commitment to helping one another succeed. The Administrative Assistant is a vital member of our school team, providing front office support and helping to maintain an organized, efficient, and student-centered environment. This position plays a key role in the daily operations of the school, supporting communication, solving problems, and ensuring a positive experience for everyone who enters our building. This is a 200-day position.
Key Responsibilities:
Serve as the first point of contact for students, families, and visitors, providing excellent customer service Manage front office operations including answering phones, greeting visitors, and directing inquiries Assist with student attendance, records, and data entry in student information systems (e.g., Infinite Campus) Support communication with families through phone, email, and school messaging systems Provide clerical support to administration and staff (copying, filing, scheduling, document preparation) Coordinate appointments, meetings, and school events Coordinate school purchasing by processing purchase orders, ordering supplies and materials, communicating with vendors regarding tax-exempt status, tracking orders, reconciling invoices and receipts, and maintaining accurate purchasing records Maintain confidentiality of student and staff information Assist with health office needs and student support as appropriate Support substitute coordination and daily staffing needs Help ensure smooth daily operations of the school office
Qualifications:
High school diploma required; associate degree preferred Experience in an office, school, or customer service setting preferred Strong organizational and multitasking skills Effective written and verbal communication Proficient in Google Workspace and Microsoft Office (SIS experience preferred, e.g., Infinite Campus) Ability to maintain confidentiality Strong attention to detail and accuracy Ability to work independently and as part of a team Positive, professional, and customer-service-oriented Flexible and able to adapt in a fast-paced environment This position is posted until filled.
