Position Summary The Receptionist/Administrative Assistant is passionate about delivering excellent customer service and creating positive experiences for everyone they interact with. The ideal candidate is teachable, reliable, collaborative, and an effective communicator. Proficiency in Microsoft Office (Word and Excel) and Google Workspace (Gmail, Sheets, Docs, and Drive) is required; experience with property management software, such as AppFolio or Yardi, is a plus.
Responsibilities Front Desk Hospitality & Communications:
Serve as the first point of contact for all visitors, ensuring an exceptional and professional impression. Manage the central multi-line phone system, including administrative routing, settings updates, and voicemail management. Direct inquiries efficiently to the appropriate team members.
Problem Resolution:
Actively listen to tenant and visitor inquiries. Utilize critical thinking and sound judgment to respond effectively. Coordinate with Managers as needed.
Office Operations & Maintenance:
Oversee the opening and closing procedures to ensure office security and presentation. Maintain a tidy, professional workspace and decorate office for holidays.
Information & Database Management:
Maintain the company master calendar and ensure database contact lists remain accurate and current. Process rental verifications and input prospective resident guest cards efficiently.
Logistics & Mail Handling:
Receive, sort, and distribute incoming physical mail, electronic correspondence, and courier deliveries to the appropriate departments.
Tenant Charges/ Payments:
Process and post tenant rent payments and tenant ledger charges, including NSF fees and key replacement charges.
Inventory Control:
Monitor office supply levels and proactively order materials to ensure uninterrupted business operations, including food and supplies for Resident Managers, and events as needed.
Tenant Retention & Leasing Support:
Help prepare a monthly Tenant Bulletin. Maintain a current list of vacancies in the winter months to provide to leasing staff.
Administrative & Physical Support:
Provide general clerical support, including scanning and filing tenant documentation. This role includes physical components, such as running local errands and managing physical office organization.
Celebration Coordination:
Support staff morale and client engagement by organizing personnel birthday and work anniversary cards, and client Christmas cards and gifts.
Punctuality & Reliability:
Maintain strict adherence to scheduled work hours. Arrive prepared and motivated to foster a positive, collaborative team environment.
Position Requirements Experience:
Proven experience in front office, reception, or administrative coordinator role. Experience with Appfolio Property Management Software is highly preferred.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Sheets, Docs).
Professionalism & Presentation:
Commitment to a professional business appearance and excellent hygiene standards.
Core Competencies:
Positive demeanor, strong work ethic, accountability, and a coachable attitude. Must maintain a calm, professional composure under pressure.
Communication & Organization:
Strong verbal and written communication skills. Demonstrated ability to multitask, prioritize tasks, and remain resourceful.
Logistics:
Must possess reliable transportation for local errands.
