The ideal candidate has strong communication and computer skills, is highly organized, and thrives while managing multiple priorities in a fast‑paced environment. We are looking for someone who is proactive, professional, and self‑motivated—a self‑learner who can work independently with minimal supervision while also collaborating effectively with customers and team members. Experience in an automotive, mechanic, or tire shop setting is highly preferred, as this role supports vehicle service operations and keeps customers informed throughout the service process. Responsibilities Answer, screen, and direct incoming phone calls in a courteous and professional manner. Greet customers and assist with questions about services and general inquiries. Keep customers informed with timely updates on vehicle status and service progress. Process customer payments accurately, including cash, card, and other accepted methods. Respond to and distribute emails, memos, letters, faxes, and forms. Prepare invoices, reports, letters, financial statements, and other business documents. Perform accurate data entry and basic bookkeeping tasks. Maintain organized digital and physical filing systems. Update and maintain office policies, procedures, and administrative systems. Order and restock office supplies, monitor inventory levels, and research cost‑effective vendors. Track and maintain all business licenses, permits, and certifications, ensuring renewals are completed on time and records are kept current. Keep the office and front desk clean and organized, including light cleaning such as wiping surfaces and tidying common areas. Prioritize daily tasks and manage multiple responsibilities in a fast‑paced environment. Support management and staff with additional administrative tasks as needed. Qualifications Previous administrative, clerical, or office experience preferred. Excellent communication and customer service skills with a friendly, professional demeanor. Experience with multi‑line phone systems and strong phone etiquette. Proficient in Microsoft Office (Word, Excel, and Outlook). Strong organizational and time‑management skills, with the ability to multitask, prioritize, and remain composed under pressure. Ability to work independently with minimal supervision, take initiative, and follow through on tasks to completion. Self‑learner with the ability to quickly pick up new systems, processes, and procedures, and a willingness to seek out answers and continuously improve. High attention to detail and accuracy in data entry, payment processing, and proofreading. Strong typing skills with a high level of accuracy. Knowledge of office management procedures and filing systems. Familiarity with basic bookkeeping practices is a plus. Bilingual abilities are highly desirable to effectively serve a diverse customer base.
