Job Description

Position Summary The Front Desk Medical Office position is responsible for providing professional and welcoming customer service while supporting the daily administrative operations of the medical office. This position serves as the first point of contact for patients and helps ensure an efficient, organized, and positive patient experience. Key Responsibilities Greet and check in patients in a professional and friendly manner. Verify patient demographic information, insurance coverage, and identification. Schedule, confirm, reschedule, and cancel patient appointments. Answer and route incoming phone calls appropriately. Respond to patient questions and provide accurate information within the scope of the position. Check patients out after visits and schedule follow-up appointments as needed. Collect copayments, deductibles, balances, and other applicable payments. Provide patients with required forms, consents, and office information. Maintain accurate and up-to-date patient records in the electronic medical record (EMR) system. Scan, upload, and organize medical and administrative documents. Communicate with providers, nurses, medical assistants, laboratories, pharmacies, and other healthcare personnel as appropriate. Assist with referrals, authorizations, medical records requests, and other administrative tasks. Maintain patient confidentiality and follow HIPAA and office privacy policies. Keep the reception area organized, clean, and professional. Assist with insurance-related administrative tasks and identify potential eligibility or billing issues. Follow office policies, procedures, and established workflows. Perform other administrative duties as assigned. Qualifications High school diploma or equivalent required. Previous medical office, healthcare, receptionist, or customer service experience preferred. Knowledge of medical terminology is preferred. Experience with EMR/EHR systems preferred. Strong communication and interpersonal skills. Professional telephone and customer-service skills. Ability to multitask and work efficiently in a busy medical environment. Strong attention to detail and organizational skills. Ability to maintain patient confidentiality and handle sensitive information appropriately. Bilingual English/Spanish is preferred. The employee must be able to remain professional and courteous while managing multiple tasks in a fast-paced environment. Physical Requirements Ability to sit or stand for extended periods. Ability to use a computer, telephone, scanner, and other standard office equipment. Ability to occasionally lift or move office supplies and documents. Ability to communicate effectively with patients and staff.
