We design, install, service, and support access control, video surveillance, gate systems, networking, and other low-voltage technology for HOAs, multifamily communities, hospitality properties, and commercial clients throughout Central Florida. We are looking for an ambitious, dependable, detail-oriented individual to become an important part of our office team. This is an excellent opportunity for someone who may be early in their career but wants more than just a receptionist position. We are willing to train the right person, and additional responsibility, advancement, and increased compensation are absolutely available for someone who proves themselves and wants to grow with the company. About the Position The Client & Vendor Coordinator will serve as one of the primary communication points between our clients, vendors, visitors, sales team, technicians, and management . You will often be the first person a client or vendor speaks with when contacting Insyte Security. Because of this, excellent communication and customer service skills are extremely important. This position requires someone who can receive information, document it accurately, determine who needs it, and make sure it gets to the appropriate person without things falling through the cracks. The right person will be organized, friendly, professional, dependable, and comfortable taking ownership of their responsibilities. Primary Responsibilities Serve as a primary liaison between clients, vendors, and our internal team. Answer and route incoming calls professionally and accurately. Greet and assist clients, vendors, delivery personnel, and other visitors. Take detailed messages and ensure information reaches the appropriate team member. Follow up on client and vendor requests when necessary rather than assuming someone else handled them. Assist with scheduling appointments and maintaining calendars for our sales and management teams. Communicate with vendors regarding orders, deliveries, documentation, and other routine requests. Perform basic data entry and update information in our ConnectWise CRM and other company systems. Log client calls, requests, and other information accurately. Assist with incoming and outgoing mail and deliveries. Track and order office supplies, uniforms, marketing materials, and other routine office items. Help organize and maintain company documents and shared electronic files. Keep the reception, front-office, and common areas professional and organized. Provide administrative support to management and other departments as needed. Help identify outstanding items and follow through until they are resolved. Learn our internal processes, clients, vendors, and technology systems as the position develops. What We Are Looking For We are more interested in finding the right person with the right attitude and work ethic than someone with years of experience.
The ideal candidate will:
Have excellent verbal and written communication skills. Have previous customer service experience. Be friendly and professional when dealing with clients and vendors. Be extremely detail-oriented. Be organized and able to keep track of multiple open items. Be comfortable working with computers and learning new software. Be able to take good notes and accurately document conversations. Be willing to ask questions when something is unclear. Be dependable and take ownership of assigned responsibilities. Be able to work independently after being trained. Have a positive, professional attitude. Be ambitious and interested in taking on additional responsibility. Understand that follow-through is just as important as receiving the original request. High school diploma or GED required. Some college coursework, an associate degree, or previous receptionist, administrative, office, or customer service experience is preferred but not required. Experience with ConnectWise or another CRM/business management system is helpful, but we will provide training. Attendance, Punctuality & Personal Phone Policy Dependability is a major requirement of this position. This is an in-office position that serves as a central point of communication for our clients, vendors, and employees. Because other people depend on this position being staffed and available, excellent attendance and punctuality are required. Candidates should understand that we take being on time, being present, and being ready to work seriously. We also maintain a strict personal cell phone policy during working hours. Personal phone use, texting, social media, and other personal activities must not interfere with work responsibilities or client service. If being consistently on time, maintaining dependable attendance, or limiting personal phone use during the workday would be difficult, this position will not be a good fit.
