Medical Receptionist and Administrative Assistant
Job Description
We are looking for an administrative assistant/receptionist to join our Miami Skin
+ Vein team! This "Patient Coordinator" will undertake all receptionist and clerical duties at the front desk of our office. You will be the "face" of Miami Skin
+ Vein and are responsible for the first impression by greeting patients, maintaining a relationship with these patients and accommodating their needs. The goal is to make patients and visitors feel as comfortable and valued as possible. The ideal candidate has excellent communication skills, the ability to thrive in a fast-paced environment, works well as part of a team, is organized and is looking for a long-term role. Essential Skills and Characteristics Excellent verbal and written communication skills in English and Spanish Detailed oriented Reliable and dependable Positive attitude and enthusiasm Passionate about skincare and aesthetics Ability to work independently with a flexible and helpful attitude Strong desire to work in a fast-paced environment, and boutique setting Ability to learn quickly Entrepreneurial spirit Strong attendance record and punctuality Administrative Duties (May include, but not limited to): Welcome and greet all patients and visitors Check-in and check-out patients Keep front desk and waiting area tidy Handle telephone calls Check, sort and forward emails Check, sort and forward Klara (text) messages Schedule appointments based on patients' needs and time availability Maintain waiting list and optimize clinic schedule Follow-up on recall list Conducting follow-up calls and emails with patients to ensure their satisfaction and schedule future appointments Answer patient questions, address complaints Accept and sign the delivery of letters, packages, etc. and distribute them Coordinate with other staff members to assure all patients' needs were satisfied Organize and update patient histories using patient forms, questionnaires, computer software, telephones, and interpersonal communication Facilitate patient flow by notifying the provider of patients' arrival, being aware of delays and communicating with patients and clinical staff Keep office supply adequately stocked monitoring office supplies and equipment and letting management know of inventory ordering needs Distributing and collecting/scanning necessary forms, making copies of patient identification/records to be kept on file Protects patient confidentiality by making sure protected health information is secured Punctual, arrives on time Performs other related duties as assigned
•Prior experience working in a private dermatology or plastic surgery clinic is preferred.
