Client Services Coordinator/Receptionist / Administrative Assistant Role Overview Seeking a Receptionist / Administrative Assistant who also assists with post-closing for our Newnan office. This is a dual-impact role for someone who loves people and details. You are often the first voice clients hear and the first smile they see — while also serving as a critical quality-control checkpoint after closing, ensuring every file is completed accurately and every loose end is tied. You bring hospitality to the front desk and precision to the back office. You're not just answering phones and recording documents — you're creating a welcoming experience, supporting attorneys and staff, and helping ensure every transaction finishes strong. This role is equal parts hospitality host, administrative anchor, and post-closer. Reception & Administrative Responsibilities Serve as the welcoming face of our offices — greeting clients, answering phones, and helping direct questions to the right team members. Create a warm, professional environment where clients feel cared for from the moment they walk in. Act as a hospitality host on closing days — assisting clients, offering refreshments, and helping closings run smoothly. Answer and route incoming calls while proactively assisting clients whenever possible. Manage incoming and outgoing mail, packages, and deliveries. Keep reception areas, conference rooms, and front offices organized, clean, and stocked with supplies, snacks, and drinks. Assist with scheduling, file setup, scanning, and general administrative support across both locations. Provide best-in-class service to clients, teammates, and partners in a fast-paced environment. Jump in wherever needed to support the team — because around here, helping is a team sport. Record all closing documents and process disbursements promptly so every transaction stays on track. Issue and mail title insurance policies and deeds to both owners and lenders, ensuring nothing slips through the cracks. Serve as the quality-control checkpoint that ties up every loose end after closing. Communicate clearly with all parties (internal and external) to resolve outstanding items. Maintain organized digital files and ensure completed transactions meet firm standards. What Success Looks Like
