Client Services Representative / Veterinary Receptionist Indian Prairie Animal Hospital is seeking a dependable, compassionate, and customer-focused Client Services Representative / Veterinary Receptionist to join our team. This is a permanent, year-round position for someone who enjoys working with both people and animals in a fast-paced veterinary hospital. As a Client Services Representative, you will be one of the first points of contact for our clients and play an important role in creating a welcoming, professional, and efficient experience. The ideal candidate is friendly, outgoing, organized, dependable, comfortable multitasking, and able to remain professional during busy or emotionally sensitive situations. Key Responsibilities Greet clients and patients warmly and professionally. Answer incoming phone calls and assist with scheduling, general questions, prescription requests, and client communication. Schedule and coordinate appointments while supporting efficient hospital workflow. Process payments, invoices, estimates, and deposits accurately. Maintain accurate client and patient records within veterinary software. Communicate effectively with veterinarians, technicians, receptionists, kennel staff, and clients. Assist with appointment flow and keep clients informed of updates or delays. Handle client questions and concerns professionally and compassionately. Complete administrative duties including scanning, filing, emailing, and record management. Maintain a clean, organized, and welcoming reception area. Support other hospital departments as needed to ensure excellent patient care and client service. Qualifications Previous customer service experience required. Previous veterinary reception or animal hospital experience preferred, but not required. Strong verbal and written communication skills. Excellent organization and attention to detail. Ability to multitask and prioritize responsibilities in a fast-paced environment. Ability to remain calm, professional, and compassionate under pressure. Comfortable using computers, multi-line phone systems, and software programs. Dependable with strong attendance and punctuality. Ability to work independently and as part of a team. Comfortable working around dogs, cats, and other animals. Comfortable with the medical and emotional aspects of veterinary medicine.
