The Receptionist serves as the primary point of contact for the office and provides administrative support to office personnel. This position manages front desk operations, coordinates mail and document processing, assists with administrative tasks, supports purchasing and vendor coordination, and performs basic financial recordkeeping and cash handling functions. The role requires strong organizational skills, professionalism in interacting with visitors and employees, and the ability to manage multiple tasks in a fast-paced operational environment, particularly during peak operational seasons.
Essential Duties and Responsibilities:
Front Office and Reception Answer, screen, and forward incoming telephone calls. Greet visitors and direct them to the appropriate personnel or department. Maintain a professional and welcoming reception area. Mail and Document Processing Sort and distribute incoming mail and packages. Notify recipients of certified mail. Endorse incoming checks and secure them in the designated safe for deposit. Open invoices, apply date stamp, and scan documents into the PaperSave system. Apply postage to outgoing mail and prepare items for shipment. Deliver outgoing mail to the post office. Administrative Support Print and email copies of store deli menus on a weekly basis. Print and prepare copies of store forms as needed. Assist office staff with copying, scanning, and document management. Travel Coordination Arrange airline reservations for employees. Financial and Cash Handling Manage petty cash transactions as required. Provide change for store operations when needed. Prepare deposits and scan documentation to the designated drive. Purchasing and Vendor Coordination Place online supply orders (e.g., Sam's Club, Amazon) for store, farm, office, and boarding house needs during peak operational seasons. Contact contractors to obtain Certificates of Insurance and maintain documentation. Sales and Inventory Recordkeeping Record local sales of sugar and molasses and scan related documentation. Maintain records of customers picking up bagasse. Record scrap sales and scan supporting documents. Peak Season Responsibilities Issue payment checks held at the office on a weekly basis during peak operational periods.
Qualifications:
Education High school diploma or equivalent required. Additional administrative or business training preferred. Experience 1-3 years of administrative, receptionist, or office support experience preferred. Experience in agricultural, manufacturing, or industrial environments is a plus. Knowledge, Skills, and Abilities Strong interpersonal and communication skills. Ability to maintain confidentiality when handling financial and business documents. Proficiency in standard office software (Microsoft Office or similar). Experience with document management systems or scanning software preferred. Strong attention to detail and organizational ability. Ability to manage multiple tasks and prioritize work effectively. Bilingual in English and Spanish preferred. Work Environment and Physical Requirements Work is primarily performed in a professional office environment within an agricultural or industrial operation. Frequent use of computer systems and standard office equipment, including telephones, printers, and copiers, is required. Prolonged periods of sitting and working at a computer are typical for this position. Interaction with field supervisors and seasonal or operational employees required. Occasional lifting of files, documents, or office materials up to 20 pounds may be required. Extended work hours may be necessary during peak operational periods, including agricultural grinding season or payroll processing cycles. Occasional coordination with vendors and internal departments.
