Description We are looking for a Front Desk Coordinator to support daily reception operations for a non-profit organization in Saint Paul, Minnesota. This is a part time position: M/W/F from 12:30 - 5:00 pm. This is also a Long-term Contract position is ideal for someone who enjoys creating a welcoming experience for visitors while keeping front office activities organized and running smoothly. The person in this role will serve as a key point of contact for guests, callers, and incoming correspondence, while providing dependable administrative support across the office.
Responsibilities:
Welcome visitors, assist with check-in needs, and provide a welcoming first point of contact for the organization.
Manage a multi-line phone system by answering incoming calls, directing inquiries to the appropriate staff, and taking accurate messages when needed.
Coordinate front desk coverage and respond to walk-in questions with courtesy, efficiency, and sound judgment.
Sort, distribute, and route incoming mail and deliveries to the correct departments or team members.
Maintain organized paper filing systems and ensure office records are kept accurate and easy to access.
Support general concierge-style assistance by helping guests, staff, and vendors navigate front office processes.
Use Microsoft 365 tools to handle routine administrative tasks, communication, and basic documentation.
Monitor day-to-day reception workflows and help address procedural updates or office process changes as assigned Requirements
Previous experience in a front desk, reception, or customer-facing administrative role.
Ability to operate a multi-line phone or switchboard system with accuracy and professionalism.
Strong verbal communication skills and a courteous, service-oriented approach when assisting callers and visitors.
Comfortable handling walk-in traffic, incoming mail, and general office coordination responsibilities.
Basic experience with paper filing, record organization, and other clerical support tasks.
Proficiency with Microsoft 365 for email, scheduling, and document-related work.
Ability to stay organized, manage multiple priorities, and remain dependable in a busy office setting.
