GENERAL SUMMARY
We are seeking a friendly, highly organized, and professional Receptionist to serve as the first point of contact for our clients. As an independent agency, we pride ourselves on exceptional customer service. The ideal candidate will manage the front desk with a welcoming demeanor, handle a high volume of calls, support our agents with administrative tasks, and ensure smooth daily office operations.
RESPONSIBILITIES AND DUTIES
Front Desk Coordination:
Greet clients and visitors warmly, directing them to the appropriate team member.
Call Management:
Answer, screen, and route incoming calls efficiently on a multi-line phone system.
Administrative Support:
Assist agents with scanning, filing, data entry, and assembling policy documents.
Client Service:
Respond to general inquiries, take payments, and help clients with basic requests, such as printing ID cards or certificates.
Mail & Correspondence:
Sort and distribute daily mail, packages, and faxes.
Office Maintenance:
Maintain a clean and organized reception area and monitor office supplies.
Agency Management System:
Utilize the agency management system (e.g. EPIC) to look up client information and update records. Regular and reliable attendance. Performs other related duties as assigned by management. Communicate effectively in-person and otherwise with all coworkers and customers, both during regular business hours and before and after regular business hours, if necessary.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of insurance products and services. Knowledge of Microsoft Word, Excel, PowerPoint, Outlook. Ability to learn Agency Software. Ability to communicate with customers and co-workers in a courteous and professional manner. Ability to multi-task and function as a team player. Ability to work with accuracy, organization, and attention to detail. Ability to learn insurance products.
EDUCATION AND EXPERIENCE
1-3 years of experience in a receptionist, administrative, or customer service role (insurance experience is a plus but not required). High school diploma or GED equivalent. Preferred Ability to learn new technology quickly. Patience and empathy when dealing with client inquiries regarding claims or policy changes. Experience in a paperless office environment.
Optional:
Willingness to obtain a Property & Casualty insurance license in the future.
