We're seeking a highly organized and proactive Administrative Assistant / Receptionist to support daily office operations and provide exceptional service to staff, patients, and visitors. About the Role We're looking for an Administrative Assistant / Receptionist who is dependable, detail-oriented, and comfortable managing a wide range of administrative, clerical, and front desk responsibilities. This Role If You:
Have strong organizational skills and enjoy keeping systems and records in order Communicate clearly and professionally with staff, patients, and visitors Are comfortable managing multiple priorities in a busy office environment Take initiative to keep the front office running smoothly and efficiently Handle sensitive information with discretion and professionalism Enjoy being the "go-to" person for coordination, scheduling, and support tasks Work well independently while also supporting a collaborative team environment Key Responsibilities Answer and route incoming phone calls to appropriate departments for triage Greet and assist visitors, ensuring a professional and welcoming front desk experience Create, organize, and maintain patient hard charts, white binders, and home folders Update patient records, including adding documentation and filing deceased patient records appropriately Build demographics pages in HMD and upload records (excluding consents) Prepare consent packets for marketing staff Start and manage threads for new patient referrals Manage incoming and outgoing fax communications and distribute records as needed Process daily mail, organize packages, and remove packaging materials Order and restock office and break room supplies Maintain printer and supply areas stocked with necessary forms and documents Monitor interview schedules and ensure proper staff are notified upon candidate arrival Support the Office Manager with general administrative tasks and office organization Maintain accurate and confidential documentation and recordkeeping systems Qualifications Strong organizational and multitasking skills Excellent communication and interpersonal abilities Ability to handle sensitive patient information with discretion and professionalism Proficiency in Microsoft Office, Zoom, and office management tools Healthcare or hospice experience preferred but not required High school diploma or GED required College coursework or administrative training is a plus If your background looks a little different, tell us how your experience prepares you to succeed in this role.
