We are seeking a friendly, organized, and customer-focused Full-Time Front Desk Coordinator to join our team. As the first impression of our practice, you'll play a vital role in creating a welcoming experience for every patient while helping ensure the daily operations of the clinic run smoothly. Position Summary The Front Desk Coordinator is responsible for greeting patients, managing appointments, answering phones, processing payments, and providing exceptional customer service. This role is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in delivering a high-end patient experience. Key Responsibilities Patient Experience

• Welcome patients with professionalism and warmth from the moment they arrive.
• Deliver a luxury-level customer experience at every interaction.
• Answer questions and assist patients with scheduling, treatment information, and general inquiries.
• Address patient concerns promptly and professionally or escalate as appropriate. Scheduling & Communication
• Answer incoming phone calls, text messages, emails, and online inquiries.
• Schedule consultations, treatments, and follow-up appointments.
• Confirm appointments and assist in maintaining an optimized provider schedule.
• Follow up with patients regarding appointments, treatment plans, and recalls. Administrative Responsibilities
• Check patients in and out efficiently.
• Process payments and maintain accurate financial records.
• Maintain patient records within the practice management system.
• Assist with daily opening and closing procedures.
• Support inventory, office organization, and general administrative tasks.
• Collaborate with providers and team members to ensure a seamless patient experience. Sales & Patient Education
• Educate patients on available services, memberships, promotions, and skincare products.
• Support clinic goals by helping convert inquiries into booked appointments.
• Recommend retail products and treatment plans as appropriate.
• Assist with patient retention initiatives and marketing events. Qualifications
• Minimum 1-2 years of experience in customer service, hospitality, retail, medical office, or spa environment preferred.
• Previous front desk or receptionist experience is highly preferred.
• Excellent communication and interpersonal skills.
• Strong organizational skills with the ability to multitask.
• Comfortable working with computers, scheduling software, and electronic medical records.
• Professional appearance and positive attitude.
• Ability to work independently and as part of a collaborative team.
