Job Description

About Us Since opening our doors in 1996, Skinfinite Solutions has been committed to providing exceptional patient care in a safe, professional, and welcoming environment. Our established plastic surgery practice and full-service medical spa offer state-of-the-art technology, experienced healthcare professionals, and a patient-centered approach. We take pride in our reputation, long-standing patient relationships, and dedicated team. We are seeking a motivated, dependable, and enthusiastic individual who shares our commitment to exceptional service and operational excellence. Position Overview Skinfinite Solutions is seeking an experienced Phone Operator / Patient Services Representative with strong communication, customer service, scheduling, sales, and marketing skills. As the first point of contact for many of our patients, this individual plays an essential role in creating a positive first impression, managing patient inquiries, maximizing appointment opportunities, and supporting the overall success of the practice. The ideal candidate is energetic, professional, highly organized, and proactive. This position requires the ability to manage multiple phone lines, communicate effectively, identify patient needs, and consistently follow through on assigned responsibilities. Attendance, punctuality, and dependability are essential requirements of this position. We are seeking an individual who understands the importance of consistent attendance and recognizes how their reliability directly impacts patient care, daily operations, and fellow team members. Key Responsibilities Telephone Operations & Patient Communication Answer and manage a high volume of incoming calls using a multi-line telephone system. Efficiently toggle between multiple phone lines while maintaining professionalism, accuracy, and excellent customer service. Appropriately triage patient calls and identify matters requiring immediate attention from clinical staff, management, or other departments. Demonstrate strong listening skills to understand patient concerns, answer questions, and provide accurate information. Communicate professionally and clearly, using proper grammar, spelling, and appropriate terminology in all verbal and written communications. Respond promptly and professionally to patient inquiries through telephone calls, emails, patient portals, and other assigned communication channels. Review the patient's complete chart during interactions to identify outstanding appointments, follow-ups, treatment plans, and additional opportunities to assist the patient. Utilize each patient's interaction to address all applicable outstanding needs and next steps within the practice, rather than focus solely on the initial reason for the call. Scheduling, Sales & Patient Retention Convert incoming inquiries and prospective patient leads into scheduled consultations and appointments. Proactively monitor assigned providers' schedules at least three days in advance to identify openings, scheduling discrepancies, and opportunities to maximize appointment availability. Utilize downtime productively by reviewing patient pathways, follow-up lists, scheduling resources, and other available tools to fill appointment openings. Conduct outbound calls and follow-up communications to encourage appointment scheduling, patient retention, and treatment plan completion. Identify opportunities to educate patients about appropriate services, promotions, and available treatment options. Support marketing initiatives and promotional campaigns through telephone outreach, emails, and patient follow-ups. Demonstrate initiatives in identifying scheduling opportunities without requiring continuous direction. Administrative & Operational Support Accurately register patients in the electronic medical record (EMR) and patient portal. Send required patient forms, instructions, and communications through the appropriate systems. Review and audit telephone calls for quality assurance, accuracy, and opportunities for improvement. Monitor and analyze call trends, scheduling conversions, and productivity. Assist management with administrative projects, reports, and assigned responsibilities. Support company social media accounts, including responding to inquiries and assisting with patient engagement. Assist with website maintenance and content management as assigned. Follow established company protocols, procedures, and communication standards. Perform additional duties as assigned to support the practice. Attendance, Reliability & Accountability Consistent attendance and punctuality are critical to success in this role. Our phone operations directly impact patient access, appointment scheduling, provider productivity, and the daily workflow of multiple departments. We are looking for a dependable team member who understands the responsibility that comes with this position.
Successful candidates must demonstrate:
Reliable Attendance:
Maintain consistent and dependable attendance in accordance with company policies and scheduled work hours.
Punctuality:
Arrive on time, prepared, and ready to begin assigned responsibilities at the start of each scheduled shift.
Accountability:
Take ownership of assigned duties, follow through on commitments, and complete tasks accurately and within established time frames.
Team Dependability:
Recognize that unexpected absences, tardiness, and inconsistent attendance can significantly impact coworkers, patient service, and office operations.
Consistent Performance:
Maintain productivity, professionalism, and attention to detail throughout the workday.
Initiative:
Remain engaged during slower periods by proactively identifying outstanding tasks, patient follow-ups, and scheduling opportunities. We value employees who demonstrate a strong work ethic, take pride in their responsibilities, and contribute positively to a reliable and supportive team environment. Required Skills & Qualifications Exceptional interpersonal and customer service skills with a friendly, outgoing, and professional demeanor. Excellent verbal and written communication skills, including proper grammar, spelling, and professional correspondence. Ability to manage a multi-line telephone system and efficiently toggle between incoming calls. Strong organizational skills with the ability to multitask and prioritize responsibilities in a fast-paced medical environment. Proven ability to convert patient inquiries and leads into scheduled appointments. Ability to work independently, demonstrate initiative, and complete tasks without constant supervision. Strong computer skills, including email, electronic medical records, scheduling systems, and patient portals. Ability to thoroughly review patient charts and identify outstanding patient needs, appointments, and follow-up opportunities. Strong attention to detail and accuracy when documenting patient interactions. Ability to remain calm, professional, and solution-oriented during challenging patient interactions. Strong teamwork, accountability, and problem-solving skills. Knowledge of aesthetic treatments, medical spa services, and plastic surgery procedures is a plus. Previous experience in a medical office, call center, patient services, or sales-oriented environment preferred. Bilingual in English and Spanish is highly desirable. A demonstrated history of dependability, punctuality, and consistent attendance is strongly preferred. Our Ideal Candidate We are looking for someone who does more than simply answer the telephone. Most importantly, we value individuals who are dependable, accountable, motivated, and committed to showing up consistently for their team and our patients.
