Job Description

Warranty & Service Admin Job Summary The Warranty & Service Admin fills two connected roles in the service department: managing manufacturer warranty administration (claims processing, compliance, and third-party warranty coordination) and working as an internal service writer for used vehicle reconditioning, PDIs, and certification. This position requires strong attention to detail, familiarity with manufacturer warranty policy, and the ability to manage paperwork accurately through every stage of the repair and certification process. Warranty Administration Responsibilities Review, process, and scan warranty repair orders for accuracy and completeness Review warranty kickbacks and resolve issues to maintain warranty compliance Ensure all warranty documentation meets manufacturer compliance standards Work directly with third-party warranty administrators to handle and resolve warranty cases Submit prior authorization requests for warranty repairs Track warranty claim status and follow up on outstanding cases Maintain organized records of warranty repair orders and supporting documentation Service Writer Responsibilities (Used Vehicles) Write and manage repair orders for used vehicles and pre-delivery inspections (PDIs) Prepare certification paperwork for vehicles entering the certified pre-owned (CPO) program Prepare sublet paperwork for internal (used vehicle) repair orders Review and approve work performed on used vehicles Manage used vehicle paperwork as it moves through the service department, ensuring accuracy and timely handoff between stages Qualifications High school diploma or equivalent required Generic (Multi-Dealer) Version Page 1 of 2 Prior experience in automotive warranty administration or as a service writer strongly preferred Manufacturer-specific warranty processing experience a plus Working knowledge of dealership service systems (e.g., Xtime, CDK, Reynolds & Reynolds) preferred Valid driver's license with an acceptable driving record Ability to pass a background check Skills & Competencies Strong attention to detail and accuracy in documentation and data entry Excellent organizational skills; able to manage multiple repair orders and cases simultaneously Clear written and verbal communication for working with warranty administrators and internal staff Comfortable with scanning, filing, and digital document management systems Ability to interpret manufacturer warranty policy and compliance requirements Problem-solving skills for resolving warranty kickbacks and claim disputes Basic computer proficiency (email, spreadsheets, dealership management software)

From $25.00 per hour Expected hours: No less than 30.0 per week
